Hi-Tec Oils is a proudly Australian-owned manufacturer and distributor of premium lubricants, automotive chemicals, industrial fluids and battery solutions. As our business continues to grow, we are seeking a highly organised and detail-oriented Purchasing Officer to join our team.
Working closely with our Finance, Warehouse and Production teams, you'll play a key role in ensuring the timely procurement of goods and services, maintaining supplier relationships, and supporting efficient purchasing and accounts payable processes.
About the Role The Purchasing Officer is responsible for supporting the procurement and accounts payable functions by ensuring the timely and accurate purchasing of goods and services required across the business. This role manages the purchase order process, supplier relationships, invoice processing and supplier payments while maintaining accurate purchasing records and supporting inventory accuracy.
The Purchasing
Officer works closely with Finance, Warehouse, Production and suppliers to ensure continuity of supply and operational efficiency.
Key Responsibilities
- Raise and process purchase orders in line with company policies and procedures.
- Source quotations from approved suppliers and assist with supplier selection.
- Monitor outstanding purchase orders and follow up suppliers to ensure on-time delivery.
- Liaise with suppliers regarding pricing, product availability, lead times and order status.
- Maintain accurate supplier records, purchasing documentation and inventory receipting.
- Process supplier invoices and support accounts payable activities.
- Assist with supplier payment processing and month-end reconciliations.
- Monitor supplier performance and assist with resolving delivery or quality issues.
- Prepare purchasing and expenditure reports as required.
- Identify opportunities to improve purchasing efficiency and reduce costs.
- Provide administrative support to the Finance and Operations teams.
About You To be successful in this role, you will have:
- Minimum 2 years' experience in purchasing, procurement, accounts payable or a similar administration role.
- Experience raising purchase orders, goods receipting and processing supplier invoices.
- Understanding of purchasing processes and inventory management principles.
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent attention to detail and a high level of accuracy.
- Strong communication and relationship-building skills.
- Intermediate Microsoft Office skills, particularly Excel.
- Experience using MYOB or another ERP/accounting system will be highly regarded.
- Previous experience within a manufacturing, warehousing or distribution environment is desirable.
- Certificate IV or tertiary qualification in Business, Procurement, Finance or a related discipline will be highly regarded.
