Role Summary

The Senior HR & Administration Specialist provides day‑to‑day support across human resources and general office administration, ensuring accurate employee records, compliant HR processes and smooth operational support to the wider business.

Key responsibilities – HR

Maintain and update employee records, personnel files and HRIS databases (e.g. contracts, letters, leave, performance records) in line with company policies and legal requirements.

Assist with end‑to‑end recruitment activities including posting job ads, screening applications, scheduling interviews and preparing employment contracts and onboarding documents

Coordinate recent hire onboarding and induction programs, including documentation, system access, office/IT setup and orientation sessions.

Help implement and communicate HR policies and procedures, updating guidelines and FAQs and ensuring employees are informed of changes.

- Respond to routine HR inquiries from employees regarding policies, advantages, leave and HR processes, escalating complex matters as required.

Prepare standard HR documents and letters (e.g. employment confirmations, changes to terms, warnings) in line with templates and guidance.

Assist with coordination of training sessions,



performance review cycles and employee engagement activities as directed by HR leadership.

Support compliance activities such as maintaining work rights documentation, assisting with audits and ensuring records meet legislative and company requirements.

Key responsibilities – Administration

Provide general office administration support including stationery and office supplies management.

Coordinate office maintenance, contractors and service providers to ensure a safe, clean and functional work environment.

Organize logistics for meetings and events (room bookings, catering, equipment, attendee coordination) as required.

Maintain organized filing systems (electronic and hard copy) for administrative and procurement records, including purchase orders and vendor documentation.

Support travel and accommodation bookings for employees and visitors, ensuring adherence to company policies.

Assist with monitoring office operating costs and invoices, working with finance to ensure accurate records and timely payments.

Skills, experience and qualifications

3+ years’ experience in HR administration, office administration or similar role (experience range can be adapted to level).

Working knowledge of HR processes and employment documentation; familiarity with HRIS and MS Office (Word, Excel, Outlook) is essential.

Strong attention to detail, accuracy in data entry and record keeping, with the ability to handle confidential information discreetly.

Good organizational and time management skills, with the ability to manage multiple tasks and meet deadlines in a fast‑paced environment.

Effective written and verbal communication skills and a customer‑service mindset when dealing with employees and stakeholders.
