We're looking for an experienced Intake Officer to join our fun, friendly and professional team.
In this role, you'll be the first point of contact for many of our clients, helping guide them through their journey with Klint from their initial enquiry through to booking appointments and providing ongoing administrative support.
While your primary focus will be client intake and administration, you'll also provide occasional reception support to cover planned and unplanned leave across our clinics.
Use your outstanding customer service skills to make a meaningful impact on people accessing neurological therapy services, whether in person, over the phone or via email.

About the Role
- We are offering part-time or full-time opportunities.
- This is a hybrid role, with your office base located at either our Forest Hill or Highett clinic, depending on the successful candidate. Once fully trained, you'll have the opportunity to work a combination of office-based and work-from-home hours.
- Training for this role will be completed at our Forest Hill clinic to ensure you receive comprehensive support and become confident in all aspects of the position.
- For part-time positions, availability on Thursdays and Fridays is essential. Full-time hours are generally 9:00am–5:15pm, Monday to Friday.
We are looking for someone with:
- High attention to detail

- Exceptional customer service skills and emotional intelligence
- Outstanding verbal and written communication skills
- Ability to manage and adapt to change effectively
- Excellent organisational and prioritisation skills
- Ability to work independently and collaboratively within a team
- Proactive problem-solving skills
- Experience using Microsoft Office and other IT platforms such as Google Workspace, Zoom and practice management software
Reporting to the Business and Quality Manager, your key responsibilities include (but are not limited to):
Intake, Enquiries & Bookings
- Matching clients with suitable therapist availability
- Responding to enquiries via phone and email
- Coordinating referral information
- Creating exceptional customer onboarding experiences
- Building strong relationships with referrers, clients and external stakeholders to create an outstanding customer experience
- Supporting referrer engagement by providing timely communication and exceptional service
Operational
- Liaising with therapists to coordinate appointments and support clinic capacity
- Managing waitlists and optimising therapist diaries
- Monitoring therapist capacity to support timely access to services
- Assisting with reporting and business metrics
