Accounts Payable & Payroll Administrator - Part Time
A wide-ranging part-time payroll and accounts role in a friendly small-business team
Aquachem is an established Australian-owned wholesaler supplying chemicals, equipment and technical support to the pool and spa industry.
We are seeking an experienced and dependable Accounts Payable & Payroll Administrator to join our Dandenong South team for two days per week.
This is a varied, hands‑on position with responsibility for weekly payroll, supplier payment preparation, account reconciliations and general financial administration. You will also support accounts payable processing and provide reception and administration coverage during lunch breaks and team leave.
The role would suit someone who enjoys working in a close-knit small-business environment, takes ownership of their responsibilities and is looking for stable, ongoing part-time employment.
The position
- Permanent part-time employment.
- Two regular days per week. Ideally Monday and Wednesday
- Working hours of 9:00 am-4:00 pm.
- On-site position in Dandenong South.
- Additional days may be required to cover planned annual leave, personal leave or operational requirements.

Key responsibilities
Payroll and HR administration
- Prepare and process weekly payroll accurately and within required deadlines.
- Review employee timesheets and attendance records from Employment Hero.
- Obtain management approval of employee hours, leave, overtime and allowances.
- Identify and follow up missing, incomplete or unusual timesheet information.
- Process PAYG withholding, superannuation and authorised payroll deductions.
- Maintain accurate employee payroll, leave and personnel records.
- Assist with payroll reconciliations and end-of-month and end-of-financial-year processes.
- Assist with employee onboarding and offboarding administration.
- Upload and maintain employment documents, policies and records.
- Monitor employee licences, permits, qualifications and training expiry dates.
- Maintain strict confidentiality regarding payroll, employee and business information.
Accounts and financial administration
- Prepare supplier payment batches for management approval.
- Maintain accurate supplier records and supporting documentation.
- Assist with bank and account reconciliations.
- Assist with BAS preparation and financial reporting as directed.
- Liaise with management and the external accountant when required.
- Identify account discrepancies and follow matters through to resolution.
- Provide accounts payable processing support when required, include invoice entry, purchase-order matching and supplier-statement reconciliation.
- Liaise professionally with suppliers regarding invoices, credits and account enquiries.
Reception and administration support
- Provide reception and telephone coverage during lunch breaks and other agreed periods.
- Provide additional reception and administration coverage when team members are on leave.
- Respond professionally to customer and supplier enquiries.
- Receive visitors, transfer calls and take accurate messages.
- Enter customer orders and assist with general sales administration when required.
- Assist with invoicing, statements, payment allocations and account reconciliations during leave coverage.
- Assist with filing, data entry, document preparation and general office administration.
- Work cooperatively across our administration, sales and warehouse teams.
About you
You are an experienced accounts and payroll administrator who is confident taking ownership of important weekly processes. You enjoy being part of a small team, are comfortable working across a range of responsibilities and take pride in completing your work accurately and on time.
You will bring:
- Demonstrated payroll and accounts payable experience.
- Previous experience working in a small or medium‑sized business.
- Sound knowledge of PAYG, superannuation, payroll deductions and employee records.
- Experience with supplier reconciliations and investigating discrepancies.
- Excellent attention to detail and commitment to accuracy.
- Strong organisational and time‑management skills.
- The ability to work independently and meet weekly deadlines.
- A professional telephone manner and clear communication skills.
- Confidence using Microsoft Outlook, Word and Excel.
- A high level of discretion and confidentiality.
- Reliable availability for two agreed working days each week.
- Flexibility to provide additional leave coverage when mutually agreed.
Experience using MYOB EXO Business and Employment Hero would be highly regarded. Experience with bank reconciliations, BAS preparation or general bookkeeping would also be an advantage.
