Secondment Coordinator (Fixed term, 12 months, Part-time, 0.5 FTE)

The Role

The primary purpose of the position of the Secondment Coordinator is to support all recruitment processes for substantive and relief secondment vacancies. The Secondment Coordinator will work closely with the CFA Secondment Coordinator to ensure the Secondment Management Department has access to all relevant information related to current and upcoming vacancies. This is a part-time position working a fortnightly pattern with set days of 15.2 hours in Week 1 (Tues & Wed) and 22.8 hours in Week 2 (Mon, Tues and Wed), equivalent to 0.5 FTE.

The Secondment Coordinator will be responsible for facilitating all administrative processes related to vacancy management, which includes recording data in the centralised SMD database, drafting and submitting memos, and submitting Staffing Action Forms to finalise appointments. Additionally, the Secondment Coordinator will respond to queries received through the central Secondment Management Department inbox, providing information on vacancies and/or recruitment processes as required.

Functional Accountabilities:

- Liaise with CFA Secondment Coordinator to gather information on upcoming and existing vacancies.
- Responsible for updating and maintaining the data in the centralised SMD database. This includes ensuring that seconded employees are correctly allocated and assigned to positions.
- Draft, review, and submit memorandums for all substantive and relief vacancies and facilitate the approval process, ensuring memorandums are published within required timeframes.
- Support the implementation of continuous improvement processes which relate to vacancy management.

What you will need to Succeed

To be successful in this position, you will have:

- Relevant qualification and/or extensive experience in business management, human resources or similar.
- Experience managing end-to-end recruitment processes and/or with rostering.
- Demonstrated experience with reporting and record/database management.
- Experience in a similar role within emergency services and/or public sector.
- Strong written communication skills, written and verbal.
- Strong interpersonal skills and demonstrated ability to influence positive outcomes.
