We are seeking an experienced Practice Manager to lead the business operations of our boutique plastic surgery practice, based in Malvern. You will oversee the clinical and administrative team and be responsible for the smooth, efficient and profitable running of the practice.

The role is central to day-to-day operations balancing hands-on team leadership with responsibility for budgets, compliance, staff management and patient experience.

We are seeking an experienced Practice Manager to lead the business operations of our boutique plastic surgery practice, based in Malvern. You will oversee the clinical and administrative team and be responsible for the smooth, efficient and profitable running of the practice.

The role is central to day-to-day operations balancing hands-on team leadership with responsibility for budgets, compliance, staff management and patient experience.

Key Responsibilities

- Maintain practice diary
- Manage patient billing, invoicing and reconciliation, including Medicare, private health fund, Workcover, HICAPS and Eclipse claims, and follow up on outstanding accounts
- Manage budgets, monthly reporting and financial performance against targets[MS1]
- Ensure compliance with AHPRA, TGA cosmetic surgery guidelines, privacy legislation and workplace health and safety requirements
- Oversee the patient journey from enquiry through to surgery and aftercare,



maintaining a premium standard of service and discretion
- Handle patient complaints and escalations professionally
- Lead, roster and manage the day-to-day performance of the reception, admin and nursing teams
- Handle end-to-end recruitment for the practice from writing role descriptions through to interviewing and onboarding new staff
- Set clear expectations, conduct regular performance reviews and manage underperformance or conduct issues as they arise
- Build a positive, accountable team culture and support staff development and training
- Manage staff leave, timesheets and day-to-day HR administration

Ideal Attributes

- Proven practice management experience in a specialist surgical, cosmetic or medical practice; surgical experience highly regarded
- Demonstrated staff management experience — hiring, rostering, performance management and building a strong team culture
- Sound understanding of how a surgical practice operates, including theatre bookings, surgeon scheduling and hospital/anaesthetist liaison
- Confidence with practice management software and knowledge of Medicare, private surgical billing, HICAPS and Eclipse
- Excellent front-facing communication skills and a professional, collegiate manner with patients and staff
- Solid attention to detail and commercial acumen — you understand what drives a practice's performance
- Highly organised, calm under pressure and comfortable making decisions
- Qualifications such as a Diploma in Practice/Business Administration, or prior experience in surgical or cosmetic nursing, will be regarded favourably
