The Role:
The Rostering Coordinator provides vital roster management, scheduling, and administrative support to ensure the smooth operation of Santi Support Services. This role is crucial for matching the right Support Workers with our participants, maintaining roster efficiency, ensuring compliance, and serving as a reliable point of contact for staff scheduling and general office administration.
This role is part-time to start, but we anticipate this role to be full time within the coming months.
Key Responsibilities
- Rostering & Scheduling: Assist in building, maintaining, and updating rosters across all SIL Homes, participant’s personal homes, & community access participants using our rostering software, ensuring shift coverage for all participant support hours.
- Vacancy & Shift Coverage: Proactively manage unexpected staff absences, sick leave, and emergency shift coverage by contacting casual/part-time Support Workers in a timely manner.
- Participant Matching: Help ensure staff are rostered in alignment with participant preferences, funding requirements, and specific care skills.
- Communication: Clearly communicate roster changes, updates, and upcoming shifts to Support Workers and House Leaders.
- Timesheet Verification: Review and cross-reference submitted staff timesheets against the published roster to assist the payroll team with accurate processing.
- Roster Compliance: Monitor and flag scheduling conflicts, ensuring compliance with relevant awards (e.g., SCHADS Award), maximum shift lengths, and mandatory rest breaks.
- Ad-hoc office & Admin Duties: Assist in handling incoming phone calls, responding to general staff queries and general office duties as reasonable directed by the Manager.
About You
- Prior experience in a scheduling, rostering, or reception role, particularly within the NDIS, aged care, or healthcare sectors highly desirable, but not essential.
- A dependable person who takes ownership of their responsibilities and understands how critical roster coverage is for our participants.
- Ability to think quickly on your feet to resolve scheduling conflicts and fill urgent shift gaps calmly and efficiently.
- Great phone manners and written communication skills; ability to build positive relationships with Support Workers and handle shift changes empathetically.
- Quick to pick up new software. Comfortable with computers and enthusiastic about learning new systems.

- Valid NDIS Worker Screening Check (Mandatory).
- Proof of Working Rights
- Police Check (completed within the last 6 months)
