Executive Support Coordinator
Role: Executive support coordinator
Location: Toorak, Melbourne, Australia
Work arrangement: Full-time, office-based in Melbourne
Compensation:competitive based on experience + eligible end-of-year bonus
You'll be joining an Australian-founded fintech that provides flexible funding solutions to SMEs and has expanded across eight countries as it continues to scale.
You'll need full Australian work rights for this role.
The opportunity
This is not a back-office admin job.
You'll be supporting the Deputy CEO & Global Chief Revenue Officer of a fast-scaling, Australian-founded fintech that has funded over $1.5B in loans and now operates across Australia, APAC and Europe — one of the busiest, most dynamic desks in the business.
You won't be doing it alone.
You'll work inside a tight, three-person executive support squad built around this executive:
Senior Executive Assistant — owns the executive's strategic operating rhythm, briefings and communications.
You — Executive Support Coordinator — the engine room.
You own the diary, travel, expenses, events and logistics that keep everything moving at pace.
Revenue Project Coordinator — drives the executive's global portfolio of revenue projects and initiatives.
The three roles operate as one unit: constant communication, shared context, and a common goal — maximising the impact of a global executive.
If you want to learn how a global revenue function actually runs, there is no better seat.
What you'll do
Own a complex, fast-moving executive diary — scheduling,
prioritisation and time-zone management across global regions.
Coordinate executive and personal travel end to end — flights, accommodation, visas, itineraries and ground logistics, including for visiting global leaders while in Australia.
Process expenses, invoices and reimbursements accurately and on time, with budget and vendor tracking support.
Provide trusted personal assistant support — sensitive matters, appointments and ad hoc requests handled with absolute discretion.
Coordinate company-wide events and internal initiatives, including all-hands and EOFY events.
Support onboarding logistics for new senior hires — equipment, access and first-day coordination.
Provide administrative support to the broader global leadership team as needed.
Work in lockstep with the Senior EA and Revenue Project Coordinator — sharing context daily so nothing falls through the cracks.
Who we're looking for
You're calm under pressure, ferociously organised, and you get energy from being the person a senior leader relies on when everything is happening at once.
You take pride in the details others miss.
Must-haves
Experience in an EA, PA, Team Assistant or similar role supporting senior leaders.
Strong diary and calendar management, including scheduling across global time zones.
Proven travel coordination — flights, accommodation, visas and detailed itineraries.
Confident, accurate handling of expenses, invoices and reimbursements.
Experience in fast-paced environments where priorities shift quickly — and unshakeable discretion.
Nice-to-haves
Onboarding logistics or company-wide event coordination experience.
Exposure to scaling businesses with multiple senior stakeholders and international coordination.
Fintech or financial services background.
Comfort with AI, automation and modern productivity tools — our support squad actively champions them.
Why this role stands out
Rare exposure.
Direct, daily access to a Deputy CEO & Global CRO — you'll see how decisions get made at the top of an international business.
A squad, not a silo.
Most support roles are solo acts.
Here you're part of a three-person team that backs each other, shares knowledge and covers the full spectrum of executive support.
Real growth.
As the business scales across APAC and Europe, the scope of this role scales with it.
People-first culture.
A high-performing team recognised for culture, diversity and customer experience.
