The Medicolegal Administrative Assistant provides full-time administrative support. The primary focus of the role is coordinating Independent Medical Consultations (IMCs), file reviews, and referrals for medicolegal reports and assessments. The position requires exceptional organisational skills, attention to detail, and the ability to multitask whilst maintaining strict confidentiality and compliance with privacy standards.
Key Responsibilities
IMC & File Review Coordination
- Arrange and schedule Independent Medical Consultations (IMCs) with medical specialists
- Coordinate file reviews, including allocation to appropriate clinicians and monitoring progress
- Manage clinician availability and calendars to meet reporting timeframes and client expectations
Referral Management
- Receive, process, and triage incoming referrals
- Ensure referrals contain complete instructions, supporting documentation, and relevant medical records
- Allocate referrals based on specialty, urgency, and clinician availability
- Act as the primary point of contact for Case Managers, solicitors, insurers, employers, and medical practitioners
- Confirm appointment details with all parties and issue written confirmations
- Respond to enquiries regarding appointment status, expected timeframes, and report progress
Documentation & Case Management
- Open, update, and maintain accurate medicolegal case files
- Record case details, appointments,
and correspondence within administrative software systems
- Prepare and distribute appointment letters, instructions, and associated documentation
Reporting & Follow-Up
- Monitor deadlines for IMC and file review reports
- Follow up on outstanding reports, medical records, and supporting documentation
- Ensure reports are received, quality-checked, and distributed in accordance with client instructions
Confidentiality & Compliance
- Handle sensitive medical and legal information in compliance with privacy legislation and medicolegal standards
- Maintain accurate record-keeping and adhere to internal policies and procedures
Core Competencies
- Excellent organisational and scheduling abilities
- Strong written and verbal communication skills
- High level of accuracy and attention to detail
- Ability to manage competing priorities and strict deadlines
- Professional and discreet approach to confidential information
- Digital literacy and experience in Microsoft suite (preferred)
Qualifications & Experience
- Previous administrative experience in medical, legal or insurance environments
- Radiology or broader clinical knowledge is advantageous
- Experience coordinating medical appointments or referrals (preferred)
