About the Role
As an Administration Assistant, you'll play a vital role in ensuring our clients receive timely access to the services they need.
Working full-time from our office, you'll be the first point of contact for many of our clients while coordinating appointments, progressing referrals and supporting our clinicians to deliver exceptional care.
This role is perfect for someone who enjoys variety, loves staying organised and takes pride in delivering outstanding customer experiences.
Your responsibilities will include:
- Managing clinician diaries and scheduling appointments efficiently
- Progressing referrals and managing client waitlists proactively
- Speaking with clients, families,
support coordinators and other stakeholders via phone and email
- Providing updates and ensuring enquiries are responded to promptly
- Coordinating appointments while considering clinician availability and client preferences
- Preparing quotes and following up approvals
- Maintaining accurate client records and documentation
- Working collaboratively with clinicians and the wider operations team to achieve service goals
About You
We're looking for someone who brings professionalism, empathy and strong organisational skills.
You'll ideally have:
- Previous experience in administration, scheduling or appointment coordination
- Outstanding customer service and communication skills
- Excellent organisational skills with the ability to manage competing priorities
- Strong attention to detail and confidence using Microsoft Office and computer systems
- Experience within healthcare, NDIS or allied health (highly regarded but not essential)
- A positive attitude and genuine passion for helping people
- The ability to work well independently while contributing to a supportive team environment
