For nearly two decades, we’ve built out a digital platform that connects people with the right real estate agent based on their needs and circumstances, and supported them complete all their conveyancing needs.

As a Workplace Technology Engineer, you'll be pivotal in driving our technology strategy and supporting our staff with their technology needs, ensuring they are enabled to deliver a superior experience to our customers.

What You Will Do

You will be the primary Workplace Technology Engineer at our Norwest office, focused on supporting our 100+ conveyancing staff who assist our customers with the property transaction. You will provide comprehensive technical support (spanning Level 1 through Level 3) and maintain our hardware, software, network, and communications systems. You will be the day-to-day technical anchor while also contributing to the broader company's platform and mission.

Initially, the role will be heavily focused on running BAU IT Service Operations with optimising our Microsoft ecosystem (Microsoft 365, Exchange Online, Intune, Defender), alongside core communications and productivity tools like Slack, RingCentral Adobe, Atlassian Jira, Monday & Okta with Conveyancing & Legal Practice Management tools. In a few months, this focus will shift to a balanced split, letting you dedicate time to broader enterprise platforms, including emerging AI tools, and contribute as our environment and processes mature.

Your Key Responsibilities:

IT Support Operations (Level 1 – Level 3)

Act as the on-site technical lead, handling Level 1 tickets through to Level 3 escalations via Slack and Jira Service Management, ensuring all issues meet established SLAs.

Securely manage our computing environment for all employees, including remote and interstate personnel using PCs and Macs.

Manage the complete employee lifecycle from onboarding through off-boarding, setting up and decommissioning user accounts across all internal tools.

Provide break-fix support, troubleshoot issues, apply patches, and install/update software. Resolve technical issues with step-by-step remote troubleshooting and strong customer-service practice.

Manage and maintain printers and other office hardware, including ordering supplies and troubleshooting issues.

Support the hybrid working environment,



including advanced configuration and troubleshooting of A/V equipment for video conference rooms and all-staff meetings.

Identity & User Account Management

Manage user access, SSO, MFA, and lifecycle processes across Entra ID, Microsoft 365, Google Workspace, and Okta, ensuring strict compliance with company security policies.

Oversee general enterprise identity workflows across our Okta-centred identity layer. Note: General familiarity with identity platforms is required; advanced skills or expertise in Okta engineering will be considered a significant added advantage.

Provide escalated account-related assistance and oversee automated password reset workflows for end users.

Administer our Microsoft environment with strong proficiency. Oversee M365 tenant configurations, manage Exchange Online mail flow (transport) rules, perform message traces, support eDiscovery and Data Loss Prevention (DLP) policies, and troubleshoot hybrid mail scenarios where relevant.

Architect and maintain endpoint configurations through Microsoft Intune and deploy endpoint security policies via Microsoft Defender.

Maintain a secure and performant network in the office.

Telephony & Collaboration Platforms

Manage and support our unified communications platform on RingCentral, including call routing, IVR menus, auto-attendants, and SIP integrations.

Administer and optimise our core SaaS stack, including Monday, Microsoft 365, Zoom, Slack, Jira, Adobe, and Miro.

AI Tools & Automation

Use approved enterprise AI tools (e.g. Copilot, Gemini, Claude) to improve your own workflow, documentation, and ticket triage.

Develop a working awareness of AI tool administration and security configuration (data privacy, DLP, user adoption guardrails) so you can support and contribute to enterprise rollouts as they mature.

Identify opportunities for automation in routine or repetitive tasks, building and maintaining reliable automation workflows.

IT Service Management & Documentation

Manage incoming support tickets, prioritising and resolving them within SLAs. Maintain accurate service request records and document troubleshooting procedures.

Administer Jira Service Management (workflows, automations, custom fields) with solid proficiency.

Contribute to IT process improvement by identifying recurring issues, writing Self-Help Articles for users, and producing IT Root Cause Analysis (RCA)



documents for critical incidents.

Manage the complete lifecycle for all IT hardware (sourcing, provisioning, setup, support, replacement). Maintain 99% accuracy in the IT Asset Inventory through diligent assignment and un-assignment.

Drive system standardisation by testing and vetting the IT application stack.

Maintain customised IT Asset Lifecycle policies aligned with the parent organisation's standards.

Liaise with vendors to build and negotiate procurement contracts (e.g. NET30 payment terms, SLA contracts for service).

Procure hardware, work with suppliers/manufacturers, organise storage, and manage stock levels as required.

Security & Compliance

Deploy and maintain endpoint security policies via Microsoft Defender, with awareness of the additional security considerations that apply to a legal/conveyancing environment.

Deliver and oversee IT Security Training for staff.

About You

Bachelor's degree in IT (or equivalent) with 4+ years of IT Engineering experience, including demonstrated success handling Level 1 through Level 3 escalations.

Strong proficiency managing the Microsoft ecosystem (M365 Administration, Exchange Online, Entra ID, Intune, and Defender).

Experience administering enterprise telephony (RingCentral or equivalent), Jira Service Management, and modern SaaS productivity tools.

Strong technical background in PC/Mac hardware, networking, remote machine management, endpoint security, and helpdesk troubleshooting.

Demonstrated ability to drive IT procurement and manage hardware suppliers.

Excellent communication and problem-solving skills, with the ability to operate independently as the sole on-site engineer while collaborating cross-functionally with the wider Workplace Technology team.

Nice to have

Advanced experience or certifications in Okta (SSO, MFA, lifecycle routing rules) — highly desirable.

Bash and/or PowerShell scripting to support the automation of platform management (M365, Exchange, Entra ID).

Experience working in a conveyancing or legal firm environment — preferred if 2+ years in the industry.
