Paul Bennet Airshows is seeking an organised and enthusiastic Event Assistant to support the delivery of our airshow calendar from planning through to on-site execution. This is a outstanding entry point into the live events industry for someone with a moderate amount of experience. Mentorship will be provided, so we're less focused on years of experience and more interested in your work ethic, willingness to learn, and ability to stay organised under pressure.
We are a small team with a passion for delivering world-class events that inspire and leave jaws on the floor. The Paul Bennet Airshows team includes some of the best Pilots in the world and this role helps to ensure that the tens of thousands of people who watch them across Australia each year have a fantastic experience that’s memorable for all the right reasons.
You’ll work closely with, and be mentored by, the Event Manager across the full event lifecycle — from administration and planning through to bump‑in, event‑day operations, and bump‑out — building hands‑on skills in how a professional event is really run.
Key Responsibilities
Event Administration
- Provide general administrative support, including correspondance, filing, data entry, and record‑keeping
- Help maintain event timelines, checklists, and trackers under guidance from the Event Manager
- Assist with basic budget tracking
- Proof reading documents
- Help coordinate vendor bookings and communications ahead of each event
- Assist with on‑site vendor bump‑in and bump‑out, guiding vendors to their designated spots, troubleshooting etc.
- Be a friendly on‑site point of contact for vendors, escalating any issues to the Event Manager
Signage & Site Presentation
- Help develop signage plans alongside the Event Manager, using site maps and branding guidelines
- Keep track of signage inventory, what has been ordered and where each piece needs to go
- Direct volunteers and team members on what goes where
- Walk the site to check signage is up and looking right, flagging or fixing anything that needs fixing
- Help with volunteer recruitment, rostering, and briefing
- Be a go‑to person for volunteers on the day, making sure they know where to be and feel supported
- Check in on volunteer welfare on‑site (breaks, amenities, thanking them for their time)
Stock & Supplies
- Order and track event supplies and consumeables as directed
- Follow up with suppliers on delivery timing
- Keep basic stock records and let the Event Manager know when things need reordering
Public Communications & Ticketing
- Respond to email enquiries from the general public and ticketholders in a timely manner, e.g. the inevitable flood of questions received the week of the event
- Assist with event ticketing, e.g. requests to change ticket types, questions about ticket inclusions and so on
On‑Site Assistance
- Support the Event Manager with on‑site logistics and following the operational schedule
- Take part in site inspections and basic WHS/safety checks
- Be a crucial set of hands during bump‑in, event days, and bump‑out, helping troubleshoot small issues as they come up
Post‑Event
- Help pack down, return equipment, and tidy up after the event
- Contribute notes or feedback for post‑event debriefs
About You
- Prior event experience highly regarded
- Well organised, with good attention to detail
- A clear communicator who's comfterable talking to different people, from vendors to volunteers
- Happy to get hands‑on and pitch in wherever needed, including some lifting and outdoor work, driving pilots to/from accommodation if required
- Available for 2–3 days per week during normal planning periods, stepping up to full‑time hours (including weekends) during airshow weeks — airshow weeks themselves are non‑negotiable
- Current driver's licence
- A positive, can‑do attitude and willingness to learn
- An interest in aviation is great however not required. Please note this is not a role where you will be working with planes. Your focus will be what happens on the ground, not in the air. While ticketholders are looking up, you're looking at what is happening around you and helping to catch any issues before they happen or solve them before they escape. If you are looking for a role working with planes, this is not the role for you.
