Are you a highly organised, calm, and experienced specialist medical administrator ready to lead a busy Anaesthetic team?

We are a premier, well-established anaesthetic group practice providing comprehensive perioperative services across multiple major private hospitals. We are seeking an organised, forward-thinking Practice Coordinator to take ownership of our daily managerial, administrative and scheduling operations.

This is the perfect step up for a highly senior Specialist Medical Receptionist who understands the fast-paced nature of surgical workflows and is ready to transition into a leadership and coordination role. You will bridge the gap between our independent specialist anaesthetists, private hospital theatre rooms, surgical clinics, and patients, ensuring seamless list coverage and strict financial compliance.

Hours will be 9am-4pm starting as 3 days a week (Monday, Thursday and Friday). Leading up to 5 days a week, once proficient in the role.

Key responsibilities

- Financial & RVG Compliance: Oversee complex Relative Value Guide (RVG) billing, manage multi-provider fee structures, and ensure strict compliance with Medicare, ECLIPSE, and private health funds.
- Billing & Claims: Efficiently processing patient payments, quoting out-of-pocket anaesthesia fees, and health insurance claims, including Medicare benefits, and third-party billings (WorkCover, DVA).
- Rostering & Theatre Allocation: Manage complex availability calendars, private hospital rosters, and emergency on-call schedules for a multi-doctor group. Proactively secure vacant lists or manage last-minute surgical cancellations.
- Business Operations & Growth:



Office management, ensure practice efficiency, oversee payroll/superannuation, financial reporting, invoicing, banking, and upkeep of stationery supplies.
- Staff Leadership: Recruit, train, and manage medical administration staff, adopting a calm, high-performance workplace culture.
- Liaison: Communicating between patients, surgeons, hospitals, and anaesthetists. Act as the primary point of contact for the anaesthetists, managing individual doctor preferences, credentialing, and hospital accreditation renewals.
- Medical Records: Handling patient histories, ensuring privacy, and managing confidential files.

What we're looking for

- Experience: 2+ years of experience as a Specialist Medical Receptionist (experience in anaesthetics is highly desirable).
- Communication: Outstanding interpersonal skills with a proven ability to reassure anxious patients ahead of their procedures.
- Organisation: Meticulous attention to detail with strong multitasking and time-management capabilities.
- Medical Billing: Understanding of time-based billing units, Informed Financial Consent (IFC) protocols, Medicare item numbers, gap cover schemes, and private health fund processes.
- Technical Skills: Demonstrated experience in Outlook,



Word and Acrobat is essential. Knowledge of specialist medical practice management software (e.g. MediTrust) is beneficial though full training will be provided.
- Regulatory Knowledge: Strong working knowledge of AHPRA regulations, privacy laws, and medical indemnity requirements.
