OFFICE & BUSINESS MANAGER – PLUMBING & CONSTRUCTION
Take genuine ownership of the office and commercial operations of an established and growing Sydney plumbing business.
ABOUT SITE PLUMBING
Site Plumbing is an established Sydney plumbing company delivering commercial construction, maintenance and service work across the hospitality, commercial, strata and residential sectors.
We have built a strong team and client base and are now looking for an experienced Office & Business Manager to take ownership of our day‑to‑day office, administrative and off site commercial operations.
This is not a junior administration position. It is a senior, hands‑on role for someone who can create structure, improve systems, keep work moving and ensure important tasks are followed through to completion.
THE OPPORTUNITY
Working directly with the Director and Operations Manager, you will take responsibility for the office and the administrative workflow surrounding our plumbing projects from the initial enquiry and job setup through to invoicing, payment and final closeout.
Our Operations Manager will continue to oversee field operations, labour allocation, technical delivery, safety and workmanship.
You will own the office, commercial administration, internal systems, reporting, people administration, customer communication and marketing coordination that support those operations.
The purpose of the role is simple: make sure the business runs smoothly, information is accurate, commitments are followed up and the Director and Operations Manager are not continually pulled back into routine office matters.
KEY RESPONSIBILITIES
Office and business operations
- Manage the daily operation of the office and oversee administrative support
- Take ownership of incoming enquiries, calls, emails and office follow‑up
- Ensure jobs are correctly created, documented and ready before work commences
- Support scheduling administration, customer confirmations and site communication
- Coordinate communication between clients, builders, suppliers, office staff and field staff
- Maintain visibility over work in progress, upcoming deadlines and outstanding actions
- Ensure completed jobs are properly closed out, documented and invoiced
- Develop and maintain procedures, checklists, templates and workflows
- Identify recurring problems and implement practical improvements
Commercial and financial administration
- Prepare and review invoices for quoted, maintenance and additional works
- Check labour, materials, subcontractor costs and completed scopes before invoicing
- Track variations, purchase orders, progress claims and missing information
- Maintain clear visibility over completed but unbilled work
- Follow up overdue accounts and payment commitments
- Work closely with our outsourced bookkeeping and payroll support
- Assist with cash‑flow visibility, job reporting and management dashboards
- Escalate commercial risks or exceptions to the Director when required
People and compliance administration
- Coordinate timesheets, leave applications and payroll information
- Maintain employee records, licences,
training and compliance registers
- Support recruitment, onboarding, probation reviews and staff documentation
- Help establish clear responsibilities and accountability across the office
- Coordinate with external HR, bookkeeping and professional advisers where required
Marketing and business profile
- Own and maintain the company’s social media and marketing calendar
- Coordinate the collection of project photographs, client stories and completed‑work updates
- Prepare and schedule regular social media content
- Manage customer review requests and responses
- Coordinate website updates, capability documents and company profiles
- Work with external designers or marketing specialists when required
- Ensure public content follows the company’s brand and approval process
Leadership and reporting
- Provide the Director with clear and concise reporting on business performance, workflow and risks
- Run regular office and workflow meetings
- Maintain action registers and follow through on agreed decisions
- Work closely with the Operations Manager without taking over technical or field responsibilities
- Raise problems early and bring recommended solutions
- Create accountability without unnecessary bureaucracy
ABOUT YOU
You may currently be working as an Office Manager, Business Manager, Practice Manager, Senior Project Administrator or Operations Coordinator.
Experience within plumbing, construction, trade services, engineering, facilities management or another project‑based business will be highly regarded.
To succeed in this role, you will need:
- Demonstrated experience managing the office or business operations of a busy company
- Strong commercial awareness and confidence working with invoices, costs, work in progress and debtors
- Experience improving systems, processes and accountability
- Excellent written and verbal communication skills. This is a must have!
- The confidence to work directly with business owners, managers, clients, suppliers and tradespeople
- Strong organisational skills and attention to detail
- The ability to prioritise, make decisions and close loops without constant supervision
- A calm and practical approach when priorities change
- The confidence to respectfully challenge management when something is being missed
- Experience with Xero and job‑management software
- ServiceM8 experience would be highly regarded
- Experience coordinating social media and marketing activities
This role is first and foremost about running an organised, efficient and accountable office. You do not need to be a plumber or project manager, but you must be comfortable working in a fast paced trade business and taking complete ownership of the back office operations.
We are looking for someone who is proactive, highly organised and relentless about follow through. Someone who will drive the administration, close loops, identify gaps and introduce better systems where needed to support the overall success of the business.
WHAT SUCCESS LOOKS LIKE
Within your first three to six months:
- The office has a clear and consistent daily operating rhythm
- Jobs are being created, tracked, closed and invoiced correctly
- Variations, missing purchase orders and unbilled work are visible and followed up
- Debtors and payment commitments are actively managed
- Staff records, licences and compliance requirements are current
- Management reporting is accurate and useful
- Social media, customer reviews and marketing activities are being managed consistently
- The Director and Operations Manager are no longer the default owners of routine office matters
