Universe Accountants PTY Ltd Office Manager – Accounting Practice Universe Accountants Pty Ltd Location: [Blacktown], NSW / Australia Employment Type: Full-time Salary: $80,000 – $90,000 plus superannuation, depending on experience Industry: Accounting, Taxation and Business Services About Universe Accountants Universe Accountants Pty Ltd is a professional accounting and taxation practice providing accounting, tax, bookkeeping, business advisory and compliance services to individuals, families, small businesses and growing enterprises. We are seeking an experienced Office Manager to take responsibility for the day-to-day running of our accounting practice.

This is a hands-on operational role suited to someone who can manage office administration, client service workflows, internal systems, staff coordination and practice support functions in a busy professional services workplace. About the Role The Office Manager will be responsible for ensuring the office operates efficiently and that our accountants, bookkeepers and support staff have the administrative systems, resources and workflow support required to deliver timely and accurate client services.

This role requires strong office management experience, excellent organisation, confidence supervising administrative work, and the ability to manage confidential client and business information in a professional accounting practice. Key Responsibilities The successful applicant will be responsible for: Managing the day-to-day operations of the accounting office, including reception, administration, client service support and office workflow.

Coordinating client onboarding, engagement documentation, appointment scheduling, document collection and follow-up procedures. Managing office systems for client records, correspondence,



lodgement tracking, document storage, workflow monitoring and internal reporting. Supporting accountants and bookkeepers with administrative coordination for tax returns, BAS, bookkeeping, ASIC, payroll and business compliance work.

Allocating tasks to administrative support staff and monitoring completion, quality, deadlines and service standards. Reviewing office procedures and implementing practical improvements to improve efficiency, accuracy and client response times. Liaising with clients, accountants, bookkeepers, suppliers, software providers and external advisers to resolve administrative and operational matters.

Managing office resources, including software subscriptions, supplies, office equipment, stationery, facilities and service provider arrangements. Maintaining supplier records, invoices, office accounts, subscription registers and other administrative financial records. Coordinating staff administration, including onboarding support, leave records, training coordination, timesheets and payroll administration support.

Assisting management with recruitment administration, staff scheduling, performance documentation and internal policy implementation. Supporting compliance with privacy requirements, workplace procedures, occupational health and safety obligations and internal practice standards. Preparing management reports, administrative updates and workflow summaries for the Director.





Ensuring the office environment remains organised, professional, confidential and client-focused. Skills and Experience To be considered for this role, applicants should have: Previous experience as an Office Manager, Practice Manager, Administration Manager, Senior Administrator or similar.

Experience in an accounting, taxation, bookkeeping, finance, legal or other professional services office will be highly regarded. Strong knowledge of office administration, workflow coordination, document management and staff task allocation. Ability to supervise administrative work and ensure deadlines are met.

Excellent written and verbal communication skills. High attention to detail and strong ability to handle confidential information. Strong computer skills, including Microsoft Office and cloud-based business systems.

Experience using accounting practice software, client management systems or document management platforms will be highly regarded. Ability to work independently, solve operational problems and manage competing priorities. Professional presentation and a client-focused approach.

Qualifications Relevant qualifications in business administration, management, accounting administration or a related field will be highly regarded. Applicants with substantial relevant office management or professional services administration experience are also encouraged to apply. Why Join
