We're looking for an experienced Office Manager to become a key part of our growing Queensland team. This is far more than a traditional administration role. You'll work directly with the Managing Director, helping drive the day-to-day operations of the business, improve systems, support our field teams and play an important role in our continued growth.
As we continue expanding in Queensland, you'll work closely with our established NSW team while helping build the systems, structure and processes that will support the next stage of Titanium Energy's growth.

About the Role:
As our Office Manager, you'll become the central point of coordination for our Queensland operations, ensuring the office, projects and support functions run efficiently each day.
You'll work closely with our field teams, clients, suppliers and external partners to coordinate administration, financial processes, scheduling, business support and operational workflows. You'll also help improve systems, support business growth initiatives and ensure nothing falls through the cracks.
This is a hands-on role offering genuine ownership, autonomy and the opportunity to become a key member of our leadership support team.
What You'll Be Doing:
Operations
- Coordinate technicians, subcontractors, projects and service work.
- Support workflow management and ensure quotes, variations and jobs continue moving.
- Liaise professionally with clients, suppliers and field staff.
- Maintain and improve systems,
documentation and operational processes.
Finance
- Manage accounts payable and accounts receivable.
- Maintain Xero and assist with Simpro administration.
- Support invoicing, purchase orders, bank reconciliations and job costing.
- Liaise with the external accountant/bookkeeper and assist with cash-flow reporting.
Business Growth
- Coordinate quote follow-up and sales administration.
- Coordinate marketing activities, social media, website updates and communication with external marketing providers.
- Help maintain CRM data and client communications.
- Identify opportunities to improve systems using AI and automation.
People & Administration
- Coordinate onboarding of employees and subcontractors.
- Support compliance, reporting and document control.
- Create a professional, organised and accountable office setting.
About You
- You're organised, proactive and enjoy taking ownership. You thrive in a fast-paced environment, can confidently juggle multiple priorities and enjoy finding ways to improve systems and processes.
- You're a strong communicator who builds relationships with clients, suppliers and colleagues. You're commercially minded, take pride in your work and enjoy being the person who keeps everything running smoothly.
- While you don't need to be an Accountant or marketing specialist, you're comfortable owning the day-to-day financial administration of the business and coordinating marketing activities to keep the business moving forward.
Experience & Skills
- Office management or senior administration experience.
- Trade, electrical, HVAC, construction or service industry experience highly regarded.
- Accounts payable and accounts receivable experience.
- Scheduling and workforce coordination.
- Sales administration and customer relationship management.
- Experience supporting business owners or senior leadership.
- Simpro, Xero, Microsoft Office, Google Workspace and AI tools such as ChatGPT are highly regarded.
