The Opportunity
This is a permanent, full time position, offering an immediate start. You will be the first point of contact for our clients and visitors, providing professional reception and administrative support in a fast paced legal environment. Joining our close knit Admin Team, you will report to the Directors and Management of the firm while working closely with our Fee Earners and support staff. Your typical responsibilities and routine duties will include:
- Front Desk Management: greeting and welcoming clients and visitors, answering and directing incoming calls, taking and delivering accurate phone messages, accepting payments and issuing receipts, and managing the firm's meeting room calendars.
- Administrative Duties: opening new matters in Affinity and creating paper files, managing incoming and outgoing mail, logging courier and personal deliveries, maintaining physical and digital filing systems, and maintaining the firm's Protected Custody Register.
- Client & Lawyer Support: scheduling and confirming appointments, preparing and formatting legal documents and correspondence, transcribing dictation as required, and liaising with courts, government departments and legal service providers.
- Office Coordination: monitoring and ordering office and kitchen supplies, keeping the reception and kitchen areas clean and organised, keeping the stationery cupboard tidy and well stocked, and assisting with event planning.

Skills and Experience
To be considered for this role, you must:
- Have completed Year 12 and hold your High School Certificate or equivalent
- Be an Australian citizen, or have the right to work in Australia, and be willing to undergo a national police check.
The following will be highly regarded, though not essential:
- Certificate III/IV in Business Administration or Legal Studies
- At least 1 to 3 years' experience in a receptionist, administrative assistant or front desk role
- Strong attention to detail and organisational skills
- Advanced telephone etiquette and excellent interpersonal and communication skills
- Strong ethical standards and a commitment to professional integrity
- A proactive attitude and willingness to learn in a fast paced environment
- Experience using the PEXA Platform and Affinity Practice Management system
- Prior experience working in an Australian law firm and a solid understanding of the Australian legal system
