We need a versatile, proactive, office allrounder. This multi-faceted role is the backbone of our daily operations, ensuring our administrative, sales, and financial processes run smoothly by providing high-level support to our Managing Director, sales team & onsite construction team.
The Role
We need a highly organised professional to manage the "front of house" as the first point of contact for our clients. This diverse role combines financial management, sales system oversight, social media marketing, and personal administrative support to the Managing Director, sales team & onsite construction team.
Key Responsibilities
Full-function bookkeeping using MYOB, including data entry, reconciliations, and statutory reporting.
Accounts Payable/Receivable:
Process supply invoices, match supply documents, prepare payment schedules, and issue and manage client progress claim invoices.
Payroll:
process monthly payroll and fortnightly payroll, using Connecteam to collate hours and Superannuation. Process statutory reporting, including PAYG, QLeave, and Workcover returns.
Reporting:
Prepare weekly payables lists and monthly financial Director's reports.
Administrative & PA Support
Provide dedicated PA support to the Managing Director.
Manage reception: Greet visitors and handle incoming phone enquiries.
Act as the first point of contact for sales enquiries, providing information to prospective clients and liaising with the Design team.
Coordinate building applications, certifier forms, and general office documentation.
Contract Administration
Draft and prepare building supplier contracts,
purchase orders, and supplier subcontracts.
Building document administration, including extensions of time claims, subcontractor declarations etc.
Oversee the electronic signature process (Dropbox Sign) to ensure the timely execution of documents.
Safety, HR & Marketing
WHS:
Prepare site-specific WHS Plans.
Safety:
Maintain and apply our HSQE Management System and safety policies.
HR:
Manage the onboarding/offboarding, employee documentation, and maintain an understanding of relevant building industry Awards.
Marketing:
Oversee the implementation of the social media program in conjunction with the MD.
Sales:
First point of contact for build enquiries.
About You
Technical Proficiency:
Proficient in MYOBand the Microsoft Office Suite(Word, Excel, PowerPoint). The ability to quickly learn other software applications, such as a CRM, AI, and new IT as required.
Industry Knowledge:
An understanding and previous experience of the residential building industry is highly preferable.
Organisation:
Exceptional attention to detail and the ability to manage multiple priorities efficiently.
Marketing:
A strong understanding of marketing on social media platforms will be well-regarded.
Communication:
A professional and friendly, as you are the face of the company for our clients and suppliers.
You will be an important member of a small, passionate team of industry professionals. The role, whilst tightly connected to daily operations, is largely autonomous. We are seeking a self-starting, proactive person who enjoys getting on with things. Our culture is open, friendly, and professional.
