We are seeking an Administration Officer to join the team at Speech Pathology Services. This is a full-time position based in Burwood, NSW 2134. As an Administration Officer, you will play a vital role in ensuring the smooth and efficient operation of our medical administration services. You will provide an essential and important role in of our organisation, providing essential administrative support that directly contributes to delivering high-quality and compassionate speech pathology services to our clients. Your organisational skills, attention to detail, and ability to manage multiple priorities will be instrumental in supporting both clinical and administration operations in the practice.
Key responsibilities
- Receiving patient inquiries, referrals and client records and information.
- Managing patient records, appointments and scheduling systems to ensure accurate and timely processing
- Coordinating with clinicians and clients to arrange sessions and manage cancellations or rescheduling
- Processing invoices, managing accounts payable and receivable, and maintaining financial records
- Preparing and maintaining administrative documentation, including client files, consent forms and assessment records
- Answering telephone enquiries and providing courteous reception services to allied health and medical personnel, clients and visitors
- Maintaining confidentiality and ensuring compliance with privacy regulations and data protection requirements
- Supporting the coordination of staff meetings, student visits, and career development activities
- Ordering and managing office supplies and equipment as required
- Assisting with general administrative duties and providing support to senior management and clinical staff
- Contributing to continuous improvement of administrative processes and procedures
What we’re looking for
- Proven experience in a medical or healthcare administration role,
or similar administrative position within a professional service environment
- Demonstrated proficiency with office management software, electronic health record systems, and Microsoft Office Suite (particularly Word, Excel and Outlook)
- Strong organisational skills with the ability to manage multiple tasks, prioritise effectively and meet deadlines
- Excellent written and verbal communication skills with the ability to interact professionally and compassionately with clients, staff and external services and professionals.
- High level of accuracy and attention to detail, particularly when handling patient records and financial information
- Understanding of confidentiality, privacy legislation and compliance requirements in healthcare settings
- Ability to work independently and as part of a collaborative team
- Professional and caring demeanour, reliability and a commitment to providing excellent customer service
