We are seeking an experienced and motivated Team Leader - Administration to lead our administration team and support the smooth day-to-day operation of our busy practice.
About the Role
This is a hands-on leadership position responsible for coordinating administrative operations, supporting and developing the administration team, and ensuring an exceptional experience for clients and clinicians.
You will lead by example, fostering a positive, collaborative and solution-focused culture while ensuring administrative processes are efficient, compliant and client-centered.
Key Responsibilities
Administration & Practice Operations
Oversee the day-to-day administrative functions of the practice.
Manage appointment scheduling, clinician diaries and front desk operations.
Coordinate billing processes and support timely debt collection.
Prepare and manage administration rosters in line with operational requirements.
Ensure compliance with third-party funding, contractual and administrative requirements.
Maintain accurate records, documentation and office systems.
Monitor and improve administrative workflows and procedures.
Support compliance with relevant business, insurance and operational requirements.
Lead, coach and support the administration team to achieve high performance.
Foster a positive, engaged and values-driven workplace culture.
Provide ongoing guidance,
training and mentoring to team members.
Conduct performance management conversations and regular feedback sessions.
Delegate responsibilities effectively and encourage accountability.
Promote workplace health and safety, inclusivity and respectful workplace behaviours.
Work alongside the team and provide support during busy periods.
Identify opportunities to streamline systems and processes.
Drive quality improvement initiatives across administrative functions.
Contribute to the ongoing growth and success of the practice.
About You
To be successful in this role, you will have:
Previous experience in a Team Leader, Senior Administrator, Practice Coordinator or similar leadership role.
Strong administration and organisational skills.
Exceptional attention to detail.
Proven ability to support and motivate a team.
Outstanding communication and interpersonal skills.
A proactive and solution-focused approach.
Ability to work independently and manage competing priorities.
Commitment to delivering exceptional client service.
A cooperative approach and willingness to support colleagues.
Experience within healthcare, allied health, psychology or professional services will be highly regarded.
