Responsibilities
Executive Support & Priority Management
Support the Managing Director in managing priorities, coordinating meetings, preparing correspondence, and ensuring key actions and commitments are completed on time.
Project & Workflow Coordination
Assist in coordinating business initiatives, operational improvements and strategic projects, ensuring stakeholders remain aligned and deliverables are tracked through to completion.
Task Tracking & Management Reporting
Maintain a centralised task management framework, monitor progress against key activities, follow up outstanding actions, and provide management with visibility of status and deadlines.
Office & HR Administration
Coordinate onboarding, offboarding, staff administration, office management activities and general people-related administration for the Sydney team.
Stakeholder Communications & Presentations
Assist with preparing presentations, reports and business documentation, and support communication with internal and external stakeholders where required.
Process Improvement & Automation
Identify opportunities to improve efficiency, standardise workflows and support the implementation of automation tools, including Microsoft Copilot and related technologies.
Compliance Coordination
Track compliance obligations, maintain registers, coordinate information requests and ensure activities are completed within required timeframes.
Cross-Functional Follow-Up & Accountability
Work across Operations, Middle Office and Dealing teams to monitor key activities, escal… and support the smooth running of day-to-day business operations.
Skills Required
Capital markets experience in equities brokerage, institutional equities, or ECM.
Proficiency in developing internal processes, filing systems, and using Microsoft Office and other productivity tools, with the ability to learn new systems including Copilot AI.
RG146 compliance (optional if not already obtained).
Excellent communication skills, both written and verbal, with the ability to maintain confidentiality.
Strong time-management skills and the ability to organise and coordinate multiple projects simultaneously.
Detail-oriented, resourceful, collaborative, and adaptable, capable of managing multiple tasks efficiently.
Adaptable team player with a proactive, efficient approach and the initiative to think strategically and execute tasks.
Willingness to work long hours as required by the industry
This role is required to be in the office Monday - Friday 8:30am to 5pm at a minimum
