Lohman Contracting Pty Ltd is a Queensland-based civil contractor delivering roadworks, bridgeworks and associated infrastructure across regional and remote council, state, mining and private sector projects. Position Purpose

The HR Administrator / Project Support role combines core HR administration with broader project and site support duties. The role is responsible for maintaining accurate employee records, supporting recruitment and onboarding, and administering HR-related compliance, while also coordinating the day-to-day logistical and administrative needs of project teams - including travel, accommodation, vehicle hire, scheduling and communications. The role suits a versatile administrator comfortable managing varied priorities across both people-related and project-related functions.

Key Responsibilities

1. Recruitment and Onboarding Support

Coordinate advertising of vacancies, applicant screening and interview scheduling with hiring managers

Prepare employment contracts, letters of offer and new starter documentation

Coordinate pre-employment requirements: right-to-work checks, licence/ticket verification (White Card, driver's licence, heavy vehicle competencies), reference checks

Administer new starter induction, including HSEQ induction records and issue of PPE/company property

2. HR Records and Compliance Administration

Maintain accurate, confidential personnel files (physical and electronic) in line with privacy obligations

Maintain HRIS/payroll data — leave balances, personal details, employment changes

Track and administer licence, ticket and competency expiries,



liaising with employees and site management on renewals

Support employment variations, role changes, termination documentation and WorkCover/return-to-work coordination

3. Payroll and Timesheet Support

Consolidate and check site and office timesheets prior to payroll processing

Liaise with payroll/finance to resolve pay queries and ensure timely processing

Support administration of allowances, overtime and travel entitlements applicable to civil construction and FIFO arrangements

4. Travel, Accommodation and Logistics Coordination

Book and manage flights, accommodation and transport/vehicle hire for FIFO and site-based personnel

Coordinate rosters and swing schedules in conjunction with Project Managers and site supervisors

Manage changes, cancellations and cost tracking for travel and accommodation bookings

Act as a point of contact for site personnel on travel and logistics queries

5. Project and Site Administrative Support

Provide general administrative support to Project Managers and site teams, including correspondence, filing and diary coordination

Assist with scheduling and logistics for weekly project meetings — agendas, minutes and action register distribution

Support communication between site and office, including distribution of notices, updates and incidental requests

Assist with ad hoc project documentation support (e.g. registers, correspondence tracking) as workload requires

WHS and Quality Administration Support

Maintain training and competency registers, tracking licence, ticket and induction expiries across the workforce

Assist with filing of SWMS, toolbox talk records and other IMS documentation as required

Support administration of incident and hazard reports, ensuring timely entry into the relevant register

Work Health, Safety, Quality and Environment

Comply with all requirements of the IMS, certified to ISO 9001, ISO 14001 and ISO 45001

Maintain confidentiality of employee information per privacy legislation and company policy

Ensure HR and project administrative documentation supports DTMR R2/B1 prequalification and accreditation obligations

Report WHS hazards, incidents or non-conformances observed in the course of duties

Qualifications, Skills and Experience

Certificate III/IV in Business Administration, Human Resources, or equivalent experience

Minimum 2 years' experience in an administrative role covering HR, office administration, or logistics/travel coordination

Robust MS Office skills; experience using an HRIS/payroll system and/or travel booking platforms

High attention to detail, strong organisational skills, and the ability to manage varied and competing priorities

Sound understanding of confidentiality and basic employment/Fair Work obligations

Current driver's licence

Administrative experience within construction, civil infrastructure or a similarly regulated industry

Experience coordinating FIFO travel, accommodation or vehicle hire logistics

Exposure to WHS/quality management systems and accreditation processes (ISO 45001, FSC WHS Accreditation)

Experience with platforms such as Employment Hero, Xero or MYOB

Certificate IV in Human Resource Management
