The Rockhampton Jockey Club is one of Central Queensland's premier sporting and entertainment venues, hosting an exciting calendar of race meetings, functions and community events each year.
We are seeking a motivated and versatile Finance & Administration Officer to join our team. This is an exciting opportunity for an organised professional to contribute across the Club's finance, administration and member services functions while supporting the continued growth and success of the organisation. Working closely with the Chief Executive Officer and external accounting professionals, you will play an important role in the day-to-day financial operations of the Club while also providing broader administrative support across the business.
Key Duties & Responsibilities
Finance
- Assist in the preparation of monthly management accounts including Profit & Loss Statements, Balance Sheets and Cash Flow Reports.
- Process journals and assist with month-end reporting requirements.
- Monitor and reconcile financial transactions to ensure accurate and timely reporting.
- Reconcile daily cash, banking and revenue transactions.
- Manage accounts payable including invoice processing, supplier reconciliations and payment runs.
- Process payroll and associated payroll administration.
- Maintain accurate financial records and assist external accountants with compliance and reporting requirements.
- Assist with budgeting, financial analysis and continuous improvement initiatives.
Administration
- Provide administrative support to the Chief Executive Officer and management team.
- Assist with preparation of reports, correspondence and meeting documentation.
- Maintain accurate records, filing systems and databases.
- Respond to telephone and email enquiries in a skilled and timely manner.
- Assist with office administration and day-to-day operations.
Membership & Customer Service
- Provide a welcoming and professional first point of contact for members, sponsors and visitors.
- Assist with membership enquiries, renewals and database maintenance.
- Support ticketing, event administration and race day enquiries where required.
- Liaise with suppliers, members and stakeholders to ensure excellent customer service.
- Assist with sponsorship and function administration as required.
General
- Contribute to continuous improvement across administrative and financial processes.
- Support Club events and race days as required.
- Undertake other duties consistent with the position as directed by the Chief Executive Officer.
Skills, Experience & Qualifications
We recognise that great candidates come from a variety of backgrounds and encourage applications from individuals with experience in finance, bookkeeping, accounting or business administration.
- Qualifications in Accounting, Bookkeeping, Business Administration or a related field (or equivalent industry experience).
- Experience in accounts payable, payroll and general bookkeeping.
- Experience using Xero or similar accounting software.
- Experience with SwiftPOS or similar point-of-sale systems (desirable).
- Strong Microsoft Office skills, particularly Excel.
- Excellent organisational and time management skills.
- High level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Ability to work independently while contributing positively to a small team.
- Excellent customer service and interpersonal skills.
- A proactive attitude with a willingness to assist across all areas of the Club.
