Join the Westaway Restoration Team — Scheduling Coordinator
Permanent part time, Wednesday to Friday — with the option to move to full time
Westaway Restoration is looking for an organised, switched-on Scheduling Coordinator to join our team at Burleigh Heads.
We're a family-run restoration business with more than 30 years behind us, helping people put their homes and lives back together after water damage, storms, fire and mould. In this role you'll own our daily schedule — booking jobs, keeping our technicians moving, and making sure everyone knows where they need to be. No two days look the same, particularly during a weather event, so if you enjoy variety and a bit of pace, you'll fit right in.
This is a permanent part time role working Wednesday to Friday, with genuine scope to move to full time as the business grows.
Key Responsibilities:
- Coordinate and maintain daily technician schedules based on job priority, location, availability and skillset
- Book appointments with clients and confirm attendance times
- Manage incoming job requests and keep systems and calendars current in real time
- Monitor job progress through the day and adjust schedules as priorities shift
- Maintain accurate records and job notes in our job management system
- Follow up outstanding information so jobs keep moving
- Provide general administrative support to the wider team
About You:
✔ Experience within the insurance building or restoration industry is preferred, though not essential
✔ Confident on the phone and clear in writing, with clients and technicians alike
✔ Strong attention to detail and genuinely positive record-keeping habits
✔ Comfortable juggling competing priorities and last-minute changes without losing the thread
✔ Proficient in Microsoft Office and quick to pick up job management software
✔ Someone who follows up without being asked
