Role Objective:

We are seeking a motivated individual to join our team as a Guide Coordinator & Admin Specialist. This role supports the Guide and Customer Relationship Manager at Guides Australia, playing a vital role in recruitment, scheduling, and guide support for our tours. The position requires solid organisational skills, attention to detail, and a flexible approach with the ability to manage competing priorities to meet the demands of the guiding industry.

Main Responsibilities

Assist the Guide & Customer Relationship Manager with scheduling and allocations of Tour Guides and Tour Directors.

Prepare accurate, quality-checked tour documentation for guides.

Build and maintain positive relationships with guides and clients.

Process timesheets and assist with payroll as needed.

Provide after-hours support to guides when required.

Provide accurate confirmations, reconfirmation, and tour documentation for all guides.

Ensure correct reporting and documentation for invoicing.





Collaborate with all team members within the business.

Assist in all other areas of the business when required.

Other Information

Due to the nature of our industry, extra hours will be required during peak times, including weekends and public holidays. We’re looking for a dedicated team player with a “can-do” attitude who can adapt to changing priorities and help solve urgent issues as they arise.

Prior experience in office administration or logistics.

Proven ability to problem-solve.

Ability to maintain calm under pressure and work with flexibility.

Confidence to work collaboratively and autonomously.

High attention to detail.

Strong organisational skills with the ability to manage scheduling efficiently and adapt to changing priorities.

Ability to complete and check paperwork to ensure accuracy and quality.

Creating and maintaining accurate records for rostering and payroll purposes.

Excellent interpersonal skills, with the ability to engage and communicate effectively with people from diverse backgrounds.

Experience in handling urgent issues and enquiries in a timely manner.

The ability to face challenges head on and a ‘can do and hands on’ attitude.

Mature outlook and ability to stay calm under pressure.

Knowledge & Experience

Familiarity with the travel or cruise industry is an advantage.

Excellent knowledge of Australia.

Previous experience in office administration.

Proficient in Microsoft Office (Word, Excel, PowerPoint & Outlook).

Understanding of logistics.
