The Administration Assistant is a key member of our Support at Home team, responsible for ensuring the smooth and professional operation of our administration. This role manages all incoming communication, provides high-quality customer service to participants, families, and stakeholders, and oversees our digital presence through coordinated social media activity.
We're seeking a permanent full-time Administration Assistant; however, for the right candidate(s), we're also open to creating two permanent part-time positions with school-friendly hours. Key Responsibilities
1. Reception & Communication Management
Answer all incoming phone calls, emails and SMS in a skilled and timely manner.
Respecting participants' privacy, dignity, culture, and preferences
Screen, direct, or transfer calls to the appropriate team member.
Take accurate messages and distribute them promptly via email and SMS.
Monitor voicemail, ensuring messages are followed up and recorded.
Provide general information to participants and their families regarding services, bookings, and organisational processes.
2. Administrative Support
Maintain accurate participant and staff records in accordance with organisational policies and compliance with the Strengthened Aged Care Quality Standards.
Support scheduling and rostering processes as required.
Assist with document preparation, filing, and internal communication.
Ensure administrative processes remain compliant with Support at Home program requirements and organisational quality systems.
3. Social Media & Digital Marketing
- Plan, create, and schedule social media content that aligns with organisational values, brand, and marketing strategy.
- Maintain an active presence across approved platforms (e.g., Facebook,
Instagram, LinkedIn).
- Respond to online enquiries and comments in a professional and timely manner.
- Monitor analytics and engagement to help improve communication and outreach.
- Support the development of promotional materials and campaigns for recruitment, services, and community engagement.
4. Participant Service & Support
Demonstrate empathy, confidentiality, and respect when interacting with participants and their families and care staff.
Assist with enquiries regarding services, assessments, and program information.
Work collaboratively with participants and their families, care staff, and management to ensure a consistent and responsive service experience.
Key Skills & Attributes
Strong communication skills (verbal and written) with excellent phone manner.
High level of organisation, time-management, and attention to detail.
Ability to manage multiple tasks and competing priorities.
Competency with email, mobile phone SMS, Microsoft office software e.g. Excel, Word, Powerpoint, Teams, and CRM/databases.
Proficient in social media management and content creation.
Professional, reliable, and able to work autonomously.
Understanding of privacy, confidentiality, and compliance within the care sector.
Positive, solution-focused attitude with a commitment to participant-centred care.
Qualifications & Experience
Strong computer literacy, including Microsoft Office Excel and email.
Aged care, NDIS, or community services experience highly desirable
Experience managing social media pages or digital content for a business highly desireable.
Current National Police Check.
Current Working with Vulnerable People / Working with Children Check (or willingness to obtain).
Working Conditions
