Queensland Heart Specialists is seeking an experienced and proactive Practice Manager to oversee the day-to-day operation and continued growth of our private cardiology practice.

Queensland Heart Specialists is a rapidly growing specialist cardiology practice providing comprehensive cardiac consultation and diagnostic services.
The practice currently operates from The Wesley Hospital and is expanding with a current location at Chapel Hill in Brisbane’s western suburbs. We are committed to delivering high-quality, patient-centred care in a professional, compassionate, and supportive workplace.
About the role
Reporting to the Practice Directors, the Practice Manager will provide leadership across practice operations, staffing, financial and medical administration, patient services, systems, business development and growth, and ensure our clinics operate efficiently while delivering an exceptional experience for our patients, specialists, and referring practitioners.
This is a hands-on role requiring a capable and approachable leader who can manage competing priorities, support clinicians and staff, strengthen practice systems and help guide the practice through its next stage of growth. The role will operate across both the Wesley and Chapel Hill locations.
Key responsibilities will include:
Overseeing the efficient day-to-day operation of the practice
Leading, supporting and developing reception, administration and clinical support staff
Coordinating rosters, leave, recruitment, onboarding and performance processes
Maintaining effective appointment, referral, billing, recall and correspondence workflows
Overseeing Medicare and private billing, reconciliations, debtors and financial reporting, ensuring accuracy and compliance
Ensuring compliance with healthcare legislation, patient confidentiality, and QHS Company policies
Monitoring revenue, expenditure, staffing and practice capacity
Improving systems, technology, procedures and operational efficiency
Maintaining high standards of patient service, privacy, risk and compliance
Driving business development initiatives and strengthening relationships with referring practitioners, practice managers and healthcare partners.
Supporting referral and business growth, service development and the introduction of current initiatives
The position combines operational management with people leadership, financial oversight, referrer engagement and sustainable practice and business growth and development.
About you
To succeed in this role, you will be an organised, collaborative and solutions-focused leader with excellent communication skills and a strong understanding of private medical practice.
You will ideally have:
Previous experience as a Practice Manager, senior medical administrator or healthcare operations leader
Strong knowledge of private practice operations and Medicare billing
Experience recruiting, mentoring and building high-performing administrative teams.
Sound financial administration, reporting and debtor-management skills
Excellent organisational and time management skills, problem-solving skills, prioritisation abilities, and high attention to detail
Exceptional communication and interpersonal skills with a proactive, positive approach and team-focused attitude
Demonstrated ability to lead organizational change and implement new systems and workflows.
The ability to build positive relationships with clinicians, staff, patients and referrers
Confidence using practice management software, Microsoft Office and digital systems – experience with Xestro or similar medical practice software would be advantageous
Experience in cardiology, specialist medicine, diagnostic imaging, surgery or another multidisciplinary private practice would be highly regarded.
