Maintaining a strict compliance to industry best practice and Australian government standards, our certified fire protection professionals will design and personalise a plan which meets your fire safety requirements to the letter.

Our team is comprised of specialist fire protection professionals, contractors, plumbers, sprinkler fitters and electricians who not only install, but also maintain and provide ongoing support for your fire protection system.

The Planning Administrator plays a key role in coordinating the day to day planning and administrative functions of the Commercial Services Division. Supported by a small and dedicated administration team, this role focuses on work scheduling, workforce coordination and supporting compliance activities across multiple client sites.

This position is responsible for ensuring effective planning, strong communication and accurate administrative processes that support safe, compliant and well organised service delivery. The Planning Administrator works closely with internal teams, clients and operational leaders to ensure resources are scheduled efficiently and regulatory requirements are supported through accurate planning and documentation.

Key Responsibilities

Coordinating and maintaining work schedules and forward planning activities

Supporting compliance with fire safety and other regulatory requirements through accurate administration

Acting as a central point of coordination between field staff, clients and internal stakeholders

Supporting customer and client relationships through proactive communication

Ensuring high standards of time management, data accuracy and record keeping





Contributing to the effective execution of company objectives by providing reliable planning and administrative support

This role is critical to maintaining operational efficiency, clear scheduling and consistent service delivery across all commercial sites.

Experience and Qualifications

Demonstrated experience in planning, scheduling or coordination roles, ideally within fire services, building compliance or a regulated services environment

Proven experience coordinating Annual Fire Safety Statements or similar compliance based processes

Sound knowledge of fire safety systems, compliance requirements and relevant legislation

Experience leading, supporting or supervising administrative or technical teams

Strong proficiency in scheduling and job management systems, preferably SimPRO

High level of competence in Microsoft Office applications, including Excel, Word and Outlook

Experience managing customer relationships and acting as a primary point of contact for service delivery and compliance matters

Proven ability to manage quotations, approvals and invoicing with a high level of accuracy

Strong organisational skills with the ability to prioritise competing deadlines in a fast paced environment

Excellent written and verbal communication skills, with a professional and customer focused approach

Demonstrated attention to detail and commitment to maintaining accurate records and documentation

A proactive mindset with experience identifying and implementing process improvements
