Practice & Operations Manager (Part-Time)

Rouse Hill & Thornleigh | 15–18 hours per week | Flexible working hours across 3–4 days per week

Are you an experienced Practice or Operations Manager who loves bringing order to busy workplaces, leading teams and improving systems?

Little Steps Therapies is looking for a proactive, organised and solutions-focused Practice & Operations Manager to lead our administration team and ensure our clinics continue to deliver an exceptional experience for every family.

This is a leadership role for someone who enjoys taking ownership, supporting others to succeed, improving processes and ensuring the day-to-day operations of our growing business run efficiently.

About the Role

Reporting directly to the Clinical Director, you'll lead our reception team while overseeing the administrative and operational functions of our clinics.

This is a varied role where no two days are the same. You'll support the reception team, oversee finance administration, coordinate onboarding and leave processes, improve systems, resolve challenges and ensure our clinics operate efficiently every day.

You'll have the autonomy to make decisions, lead your team,



implement improvements and genuinely shape how our administration function operates.

Your Responsibilities

You will be responsible for:

- Leading, coaching and supporting the reception team.
- Managing receptionist performance, providing regular feedback, coaching and professional development.
- Monitoring client service standards and resolving escalated client concerns.
- Ensuring reception processes are completed accurately and consistently.
- Overseeing new client onboarding and documentation compliance.
- Monitoring reception quality, KPIs and administrative performance.
- Reconciling payments and monitoring daily financial administration.
- Following up outstanding invoices, including liaising with NDIS Plan Managers and other funding bodies.
- Coordinating leave approvals, payroll administration and staff documentation.
- Supporting recruitment and onboarding of recent team members.
- Coordinating Professional Development administration.
- Managing clinic stock ordering and purchasing within budget.
- Identifying opportunities to improve systems, workflows, efficiency and the client experience, and confidently raising recommendations for improvement.
- Implementing approved operational improvements and evaluating their effectiveness.
- Working collaboratively with the Clinical Director,



Clinical Manager and Team Leaders to support a positive, productive and high-performing workplace.

About You

We're looking for someone who:

- Has previous experience as a Practice Manager, Operations Manager, Office Manager or in healthcare administration.
- Has experience leading, coaching and developing an administrative or reception team.
- Is confident managing performance, setting expectations and having courageous conversations when required.
- Has exceptional organisational skills and outstanding attention to detail.
- Is proactive, takes ownership and enjoys solving problems.
- Can prioritise competing demands in a fast-paced environment.
- Communicates professionally and confidently with clients, staff and external stakeholders.
- Has experience with healthcare administration, NDIS, Medicare or private health billing (preferred but not essential).
- Is confident learning new systems and continually improving existing processes.
- Enjoys identifying opportunities to improve the way a business operates rather than simply maintaining the status quo.
