We are a Specialist Clinic in Springwood , Qld has an exciting opportunity for an experienced, organised, and motivated full-time Practice Manager to lead their practice.

The Opportunity
This is a casual position offering flexible hours of 24–32 hours per week, with a genuine pathway to a permanent role for the right candidate following a successful performance review at 6 - 12 months.
You will work closely with our specialist medical practitioners and clinical and administrative teams, taking ownership of both day-to-day operations and longer-term strategic initiatives that drive practice performance and patient experience
Key Responsibilities (Not limited to)
Practice Operations & Administration
- Oversee daily clinic operations, ensuring efficient patient flow, optimal resource allocation, and consistently high standards of service delivery
- Implement and continuously review practice policies, procedures, and protocols in line with accreditation requirements and best practice
- Manage the appointment and scheduling system to optimise capacity and minimise patient wait times
Financial Management & Billing
- Oversee billing, invoicing, fee schedules, and reconciliation of Medicare, insurances, and patient accounts
- Identify opportunities to improve processes
- Lead, supervise, and support all administrative staff, including rostering, performance management, and recruitment
- Foster a positive, high-performing workplace culture aligned with our values of clinical excellence and patient-centred care
- Coordinate recruitment and onboarding of new staff
- Monitor referral volumes from the GP practices, identify trends,
and maintain key referral relationships
- Oversee recall systems, follow-up protocols, and patient communication strategies
Clinical Governance & Compliance
- Ensure compliance with relevant regulatory and accreditation requirements
- Manage privacy and data security obligations under thePrivacy Act 1988(Cth) and Australian Privacy Principles
- Oversee WHS compliance, incident reporting, and quality improvement initiatives
Reporting & Strategic Contribution
- Prepare regular reports for practice directors covering referral trends, booking utilisation, cancellation and dropout rates, and patient feedback
- Contribute to strategic planning and business development initiatives
About You
- Demonstrated experience in a specialist medical practice or health services management role
- Strong knowledge of Medicare Benefits Schedule (MBS) item numbers relevant to specialist practice
- Proven leadership and people management skills, with experience managing a team
- Sound financial management skills, including billing systems, payroll, and financial reporting
- Excellent written and verbal communication skills with strong stakeholder engagement ability
- Proficiency in practice management software and the Microsoft Office Suite
- Knowledge of WHS obligations, privacy legislation, and healthcare compliance
- A strategic thinker who takes initiative and can manage competing priorities with minimal oversight
