Position Purpose

The Conveyancer / Property Paralegal is responsible for managing property transactions from instruction through to settlement, ensuring accurate, timely, and compliant delivery of conveyancing services to Assure Lawyers' clients. The role covers standard residential and commercial conveyancing as well as more complex matters such as family law property transfers.

Key Duties and Responsibilities

File Management

Open, manage, and close conveyancing files in line with firm procedures

Maintain accurate and up to date file notes and records throughout the transaction

Monitor key dates and deadlines (cooling off, finance, settlement) and proactively manage risk

Transaction Handling

Review and prepare contracts for sale, transfer documents, and related conveyancing documentation

Create, manage, and lodge PEXA workspaces for e-conveyancing settlements

Prepare, lodge, and withdraw caveats as required, including liaising with relevant parties and land titles offices

Coordinate with agents, banks, other party's solicitors, and relevant third parties to progress matters to settlement

Prepare settlement statements and adjustments

Compliance and Client Onboarding

Obtain and verify client identification (VOI) in line with firm and regulatory requirements

Prepare and issue costs agreements and client authorisations

Ensure AML/CTF and other compliance obligations are met throughout each matter

Client and Stakeholder Communication





Act as a primary point of contact for clients throughout their matter, providing explicit updates at each stage

Respond to client, agent, and solicitor queries in a professional and timely manner

Escalate complex legal issues to the Principal as required

General Support

Assist the Practice Manager and Principal with broader practice administration as needed

Contribute to process improvement within the conveyancing team

Key Selection Criteria

Experience in conveyancing, property law, or as a legal support/paralegal (any level considered)

Working knowledge of PEXA and conveyancing software (or willingness to learn quickly)

Experience with caveat lodgements and withdrawals an advantage

Strong written and verbal communication skills

High attention to detail and accuracy

Ability to manage multiple files and competing deadlines

Sound understanding of confidentiality and compliance obligations in a legal environment

A proactive, team-oriented approach

Qualifications

Certificate/Diploma in Conveyancing, Legal Studies, or equivalent experience (desirable, not essential)

Prior experience in a law firm or conveyancing practice (desirable)

Key Relationships

Reports to: Principal and Practice Manager

Works closely with: clients, real estate agents, financial institutions, other party's solicitors, PEXA support
