We're looking for an exceptional Executive Assistant to become a trusted partner to our CEO and play a pivotal role in helping one of Australia's leading social impact organisations deliver on its mission.

About the role

This is far more than a traditional Executive Assistant position.
You'll be the CEO's trusted partner – managing priorities, anticipating what's needed before it's asked, and ensuring the smooth coordination of meetings, communications, governance processes and stakeholder engagement.
You'll enjoy bringing structure, organisation and calm to a busy executive environment, balancing strategic thinking with exceptional attention to detail. You'll also support broader organisational operations, helping keep the business running efficiently behind the scenes.

This is a permanent part-time role (0.5 - 0.6 FTE), offering genuine flexibility. We're open to the hours being worked across four or five days each week, making it an ideal opportunity for an experienced Executive Assistant looking for meaningful, senior-level work that fits around other commitments, such as school hours or caring responsibilities.

As a hybrid role based in Sydney, you'll enjoy a mix of office and remote working,



with flexibility to support the needs of the CEO and organisation.

You’ll be responsible for

- Managing the CEO's diary, priorities and workflow
- Overseeing and triaging the CEO's inbox
- Preparing meeting agendas, briefing papers and presentations
- Coordinating follow-up actions and ensuring nothing falls through the cracks
- Drafting professional correspondence on behalf of the CEO
- Supporting approvals, governance processes and documentation
- Maintaining accurate records across HubSpot and Monday.com
- Coordinating projects, events and organisational administration
- Acting as a trusted point of contact for internal and external stakeholders

About you

You’re highly organised, proactive and calm under pressure. You naturally create order from complexity and enjoy working behind the scenes to help others succeed.
You’ll bring:

- Significant experience supporting a CEO or senior executive
- Outstanding organisational and time management skills
- Excellent written communication and sound judgement
- The ability to manage confidential information with discretion
- Confidence juggling multiple priorities and changing deadlines
- Advanced Microsoft 365 skills




- Experience with CRM and project management systems such as HubSpot and Monday.com (or similar)
- A collaborative, positive approach and genuine commitment to social impact
