Are you an organised, adaptable and hands-on events administrator who enjoys working with people, solving problems and bringing events to life?

The Tocal Field Days Association is seeking an Events Administration Coordinator to play a key role in the planning and delivery of one of regional Australia's premier agricultural events. Working as part of a small and dedicated team, you will help coordinate exhibitors, stakeholders and event operations while contributing to the ongoing success and growth of this iconic community event.

This is an ongoing part-time position is based in Paterson, NSW (three days per week), with additional hours required during peak event preparation and event periods.

About the Tocal Field Days

Tocal Field Days is a community-based, not-for-profit event run by the Tocal Field Days Association. Held annually in May at Tocal College in Paterson, NSW, the event provides a platform for agriculture, innovation, education and community engagement, bringing together industry, businesses, schools, community organisations and visitors from across the state.

Attracting thousands of visitors and hundreds of exhibitors each year, the event is run by the not-for-profit association, with proceeds reinvested into the ongoing success and development of the event, ensuring its long-term benefit to regional communities and the agricultural sector.

Key Responsibilities

- Manage all administration associated with exhibitor applications, including processing, communication and follow-up
- Maintain and update the exhibitor database and event records




- Maintain and update the website and social media platforms, ensuring they are relevant and engaging
- Assist in coordinating and implementing marketing and promotional activities
- Prepare reports, documentation and general administrative materials
- Liaise with exhibitors, stakeholders, sponsors and suppliers
- Use a range of software systems and platforms, troubleshooting and resolving issues where required
- Assist with site planning and allocation, including exhibitor site mapping
- Carry out physical, hands-on tasks required for event preparation and delivery
- Provide in office support to staff, exhibitors and visitors during event preparation and event delivery

About you

You are an organised, adaptable and proactive person who enjoys working with people and finds satisfaction in delivering successful events.

You will bring

- Strong administration and organisational skills with attention to detail.
- Confidence communicating with a wide range of people, supported by strong written and verbal communication skills.
- The ability to learn and use a variety of software systems and digital platforms.
- A practical, hands-on approach,



with a willingness to assist wherever needed during event preparation and delivery.
- Strong problem-solving skills and initiative, with the ability to work effectively in a fast-paced environment.
- Flexibility and the ability to adapt to changing priorities.
- Hold a valid NSW Drivers Licence and valid Working with children check (or ability to obtain prior to commencement).
- Experience in events, which will be highly valued. A background in agriculture and community organisations will also be considered beneficial.

The work arrangement

This is a part-time position based at our office in Paterson, NSW, ordinarily working three days per week. The role offers flexibility in the arrangement of working days, which will be agreed with the successful candidate.

Given the seasonal nature of event delivery, additional hours will be required in the lead-up to Tocal Field Days and during event periods. Flexibility is therefore essential, including the ability to work extended hours during key event delivery activities.

The role also includes outdoor work and physical event preparation activities, including site setup, exhibitor support and event operations. Applicants should be comfortable undertaking practical, hands-on tasks as part of delivering a successful event.
