The Role
This is a fast-paced and detail-oriented role ensuring the smooth management of lease documentation and critical dates. Serving as a pivotal operational hub, you will demonstrate solid stakeholder interaction skills to confidently liaise with solicitors, tenants, and agents on lease-related matters. You will work within a supportive team structure while taking a proactive, results-oriented approach to driving the leasing pipeline and ensuring absolute task completion.
Key Responsibilities
Administer, track, and maintain all lease documentation and databases to ensure total tracking integrity and eliminate open loops.
Accurately process lease agreements, licenses, renewals, amendments, terminations, and rent reviews.
Coordinate with internal management and external panel solicitors on lease documentation, negotiations, and direct legal instructions.
Audit lease paperwork for proper execution and dating, tracking the sequence carefully from the Heads of Agreement (HoA) handoff through to final lease registration.
Verify all deposits, securities, bank guarantees (BG),
and compliance certificates (CoC) against the strict portfolio requirements.
Review and approve invoices from external solicitors.
Actively review documentation and schedules from external tier-1 property managers to ensure absolute alignment with organizational compliance standards.
Promptly handle any lease-related problems or queries from tenants, external managers, or stakeholders.
Ensure the organization complies fully with all contractual obligations, retail leasing legislation, and property regulations.
Key Requirements
University graduate (Real Estate, Commerce, Finance, or Property Law), OR at least 5 years of relevant working experience in lease administration within commercial and retail portfolios in NSW.
Full working rights in Australia and the ability to be onsite Monday – Friday.
Strong understanding of commercial and retail lease structures, critical date tracking, and leasing practices.
Excellent written and verbal communication skills, including the ability to deal with solicitors and legal documentation with a professional approach.
A proactive, results-oriented professional with a strong sense of ownership and meticulous attention to detail.
Well-organized with the proven ability to prioritize competing deadlines in a fast-paced environment.
Strong interpersonal skills with a commitment to contributing to a cohesive and supportive team culture.
Proficiency in the Microsoft Office Suite, Adobe Acrobat, and electronic signature platforms.
