As the company continues to grow, we are looking for an experienced and highly organised Workshop Service Coordinator to join our operations team.

About the Role

This is a rapid-paced operational role positioned at the centre of the workshop.

You will act as the primary point of contact between customers, technicians, the workshop floor, and management — ensuring jobs move efficiently, customers remain informed, and workshop productivity stays high.

The role requires someone who can communicate clearly, stay organised under pressure, think ahead, and maintain control across multiple moving parts throughout the day.

You will work closely alongside the Operations Manager, Workshop Foreman, and Warranty Coordinator to coordinate workflow, customer communication, scheduling, and job progress across the workshop.

Key Responsibilities

- Coordinate workshop bookings, workflow, and daily job scheduling.
- Communicate directly with customers regarding repairs, progress updates, approvals, and completion times.
- Prepare estimates, quotations, and repair authorisations.
- Work closely with the Workshop Foreman to manage labour allocation and workshop efficiency.
- Monitor job progress to minimise downtime and maximise workshop productivity.
- Ensure customer expectations and delivery timelines are met.




- Identify account customers and cash customers at the commencement of each job and communicate payment requirements accordingly.
- Maintain accurate job records, labour entries, and service history through workshop management systems.
- Assist with parts coordination and interdepartmental communication.
- Support smooth workshop operations while maintaining high professional standards.

What We’re Looking For

- Previous experience within a heavy vehicle, automotive, or diesel workshop environment.
- Solid understanding of workshop operations and job flow coordination.
- Excellent communication and customer service skills.
- Strong organisational and time management ability.
- Ability to work effectively under pressure in a rapid-paced environment.
- Experience using workshop management systems and Microsoft 365 applications.
- Mechanical knowledge or experience in the heavy vehicle industry is highly regarded.
- A proactive attitude with strong problem-solving ability.
- Commitment to safety, professionalism, and continuous improvement.
