Are you an organised and proactive professional who thrives in a fast pace environment?

We are seeking a highly motivated and detail-oriented Project Administrator / Coordinator to join our growing team. This is an exciting opportunity to play a key role in supporting the successful delivery of projects by coordinating schedules, procurement, documentation control, maintaining communication across teams, and ensuring project milestones are achieved.

Working closely with Project Managers, suppliers, customers, and internal stakeholders, you'll be an integral part of ensuring our operations run smoothly from commencement through to completion.

Key Responsibilities

As our Project Coordinator, your day-to-day responsibilities will include:

- Providing project coordination and administrative support to the manufacturing division.
- Managing project documentation, schedules, registers, and compliance records.
- Coordinating procurement activities, purchase orders, and supplier communications.
- Monitoring project and workshop schedules and assisting with milestone tracking.
- Preparing project reports, spreadsheets, and status updates.
- Maintaining project records, documentation, and filing systems.
- Liaising with suppliers, customers, subcontractors, and internal departments.
- Scheduling meetings, recording meeting minutes, and following up on action items.
- Supporting project cost tracking, invoicing, and general project administration.
- Ensuring accurate and timely communication across all project stakeholders.

Skills & Experience

To be successful in this role, you will have:





- Proficiency in Microsoft Excel, including data management, reporting, and spreadsheet maintenance.
- Strong working knowledge of Microsoft Outlook and the Microsoft Office Suite.
- Exceptional attention to detail with a high level of accuracy.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills with the ability to build positive relationships.
- Construction or Trade experience would be advantageous.
- Ability to manage multiple priorities and work effectively in a fast-paced workplace.
- Experience using project management or job management software, or keen ability to learn and adapt quickly. (Simpro experience highly regarded).
- A proactive approach to problem-solving and continuous improvement.
- Previous experience in a Project Coordinator, Project Administrator, Construction Administrator, or similar role. (not required by would be advantageous)
- A current Australian Driver's Licence.
