Mactech Diesel Solutions is a growing, family-owned diesel workshop specialising in servicing and repairing earthmoving equipment, trucks and diesel machinery.
Having recently moved into a larger workshop to support our continued growth, we’re looking for an experienced Office Coordinator to become a key part of our team and help coordinate the day‑to‑day administration of our business.
You’ll work closely with our small team of mechanics and two working directors, helping keep the workshop organised, customers looked after and the business running efficiently.
This isn’t your typical administration role.
We’re looking for someone who enjoys taking ownership, improving systems, solving problems and making a genuine difference. You’ll have the opportunity to learn how a growing business operates from the ground up, improve processes and help shape the systems and structure that will support Mactech’s continued growth.
Our current Office Manager provides remote support and guidance, while this role will become the trusted day‑to‑day contact in our Rocklea office. You’ll be well supported but trusted to work independently, use your initiative and take ownership of your role.
We’re looking for someone who wants a long‑term career, not just another admin position. As the business grows, this role offers a genuine pathway into an Office Manager position.
Position Details
Location: Rocklea, Brisbane
Employment: Full-time, Monday to Friday
Hours: 8:30am–5:00pm preferred, with flexibility available for the right person (for example 8:00am–4:00pm)
Salary: $65,000–$70,000 + Super (negotiable depending on experience)
Vehicle Requirements:
A reliable vehicle and Queensland driver's licence are required for this role. Initially, you will use your own vehicle for occasional business errands such as collecting parts and supplies when required. Approved business‑related travel expenses will be reimbursed. As the business continues to grow, we plan to introduce a company vehicle for business use.

Your Responsibilities
You’ll oversee the day‑to‑day administration and coordination of the business, ensuring our workshop, technicians and customers are supported every step of the way.
Customer & Workshop Coordination
- Become the first point of contact for customer enquiries.
- Coordinate workshop bookings and field service schedules.
- Help transition customers to our new business phone system.
- Maintain accurate customer records, machine histories and contact information.
- Build positive, professional relationships with customers.
- Communicate job updates, scheduling and requirements with customers.
Accounts & Administration
- Process supplier invoices in Xero and accurately allocate expenses.
- Prepare customer invoices from completed job cards including labour, parts, oils, filters and consumables for director review.
- Follow up outstanding payments and assist with maintaining healthy cash flow.
- Provide general bookkeeping and administrative support.
- Maintain organised digital filing systems across Google Drive and Xero.
- Manage shared inboxes and elevate important matters when required.
Workshop, Parts & Stock Support
- Prepare parts and filter kits for upcoming field service jobs.
- Coordinate parts requirements and collect parts from suppliers when required.
- Assist with workshop stock organisation and inventory control.
- Help ensure technicians have the information and resources required to complete jobs efficiently.
- Maintain customer machine files and service records.
- File electronic service reports into the correct customer folders.
Systems & Business Improvement
- Identify opportunities to improve workflows and office efficiency.
- Assist with implementing and maintaining new job management software.
- Help the team transition smoothly to improved systems and processes.
- Develop and maintain office procedures and documentation.
- Support the directors with projects that improve the overall business.

What We’re Looking For
- Minimum 3–5 years' administration, coordination or office management experience.
- Confidence to work independently and take ownership of your role.
- Xero experience is essential.
- Previous bookkeeping or accounts administration experience is highly regarded.
- Previous experience in trade, construction, civil, automotive, mechanical, industrial or parts environments will be highly regarded.
- Experience working with parts, inventory, suppliers, purchasing or stock control will be highly regarded.
- Experience implementing or using job management, field service or workshop management software will be highly regarded.
- Excellent communication skills and professional phone manner.
- Experience using Google Workspace (Gmail, Calendar and Google Drive).
- Strong organisational skills and exceptional attention to detail.
- A proactive attitude with a genuine desire to improve the way things are done.
- A valid Queensland driver's licence and reliable vehicle.
- Ideally located within approximately 30 minutes of Rocklea.
