About the Business

Australian Food & Fibre is an established cotton-growing, cotton handling and agricultural business operating in regional New South Wales.

Our operations involve the receipt, storage, handling, documentation and dispatch of cotton and associated agricultural products. Due to the scale and seasonal nature of our operations, accurate information management, operational reporting, document control and coordination between the warehouse, farm, transport, customers and management teams are essential to the effective operation of the business.

We are seeking an experienced Information and Organisation Professional to support the organisation and management of operational information across our cotton warehouse and agricultural operations in Narrabri, NSW.

About the Role

The successful applicant will be responsible for developing, maintaining and coordinating information and organisational systems used by the business.

The role will involve gathering and analysing operational information, maintaining accurate records, preparing reports and documentation, coordinating information between different areas of the business and assisting management to improve the efficiency and consistency of operational processes.

The position will have a particular focus on the information and organisational requirements associated with cotton receival, storage, inventory, quality documentation, logistics, transport coordination and dispatch.

Key Responsibilities

- Collecting, reviewing and maintaining operational information relating to cotton receival, storage, inventory and dispatch activities.
- Developing and maintaining systems, forms, registers and procedures for the collection and recording of operational information.
- Preparing regular operational reports, summaries, briefing documents and management information.
- Maintaining accurate electronic and physical records relating to cotton movements, stock, deliveries, transport and warehouse operations.




- Monitoring information received from warehouse, farm, transport and administrative personnel and identifying discrepancies or incomplete information.
- Coordinating information between warehouse personnel, management, transport providers, cotton industry stakeholders, suppliers and customers.
- Assisting management with the analysis of operational information to identify trends, inefficiencies, risks and opportunities for improvement.
- Developing and maintaining document-control procedures to ensure current forms, procedures and operational records are readily accessible.
- Preparing correspondence, reports, memoranda, spreadsheets and other documentation as required by management.
- Reviewing existing organisational processes and recommending improvements to information collection, record keeping and reporting.
- Maintaining confidential commercial, employee, customer and operational information in accordance with company policies.
- Assisting with the preparation of information required for audits, regulatory requirements, contractual obligations and internal reviews.
- Maintaining databases and information-management systems used for warehouse and agricultural operations.
- Liaising with relevant internal and external stakeholders to obtain, verify and clarify operational information.
- Attending operational and management meetings and preparing minutes, action lists and follow-up documentation where required.
- Supporting the implementation of improved information-management and organisational procedures across the cotton site.
- Undertaking research and compiling information relevant to the company's agricultural, cotton, logistics and warehouse operations.
- Providing specialist organisational and information-management advice to management based on analysis of available operational information.

Essential Skills and Experience

Applicants should have:





- Relevant tertiary qualifications in business, information management, organisational management, commerce, administration or a related discipline; or
- Relevant qualified experience demonstrating the required specialist information and organisational skills.
- Demonstrated experience in information management, organisational systems, reporting, business analysis or a comparable professional environment.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- High-level attention to detail and accuracy.
- Experience preparing professional reports, correspondence, procedures and business documentation.
- Experience maintaining databases, information systems, registers or other structured information-management systems.
- Ability to analyse operational information and present findings clearly to management.
- Ability to work independently and manage competing priorities.
- Strong organisational and time-management skills.
- Ability to communicate effectively with employees, management, contractors, suppliers, transport operators and other stakeholders.

Desirable Experience

Experience in one or more of the following would be highly regarded:

- Cotton or agricultural operations.
- Cotton warehousing or cotton logistics.
- Agricultural supply chains.
- Inventory and stock information management.
- Transport and dispatch coordination.
- Agricultural compliance and documentation.
- Rural or regional business operations.
- ERP, warehouse management or inventory management systems.
- Microsoft Excel and other business information systems.
