We are seeking a highly organised, meticulous, and experienced Clinic Coordinator to join our growing team. This role suits someone who thrives on being across every detail, takes genuine ownership of their work, and enjoys keeping a busy clinic running smoothly behind the scenes as well as out front. You'll be the engine room of our Bundall clinic - the first point of contact for patients and the person who keeps our admin team, schedules, supplies, and daily operations on track.

From the first phone call to the moment a patient leaves, and from rostering to reordering stock, you'll ensure everything runs like clockwork. The role is based at our Bundall clinic (our HQ), with regular coordination of our Tweed Heads location. Flexibility, sharp attention to detail, and a proactive attitude are essential as we continue to grow.

What You’ll Be Doing

You’ll be the engine room of our Bundall clinic - running reception, keeping the admin team and nurses' schedule coordinated and ensuring supplies, equipment, and day-to-day operations never miss a beat. You’ll be trusted to take ownership of the details that keep the clinic professional and patient-focused and to spot where systems or processes can run better. This is a hands-on, high-trust role that will grow in scope as our clinics do.

Your Day To Day

- Welcoming patients and managing bookings, check‑ins, and payments




- Coordinating the nurses' and admin team's schedules to keep the clinic running smoothly
- Overseeing KPIs and tasks for clinic staff
- Ordering supplies and coordinating equipment maintenance
- Supporting the wider team with timesheets, meetings and training needs

What We’re Looking For

- Minimum 2 years' experience in a medical clinic coordination role or similar
- Meticulous and highly organised
- A strong commitment to professionalism, integrity, and accountability
- Exceptional customer service skills: you’re friendly, empathetic, and skilled
- Proven ability to juggle competing priorities, stay calm under pressure and adapt to change in a busy workplace
- Comfortable coordinating and supporting a small admin team to keep on top of shared goals
- Very tech‑savvy, with confidence troubleshooting everyday tech issues and picking up new systems quickly
- Own transport, as travel between Bundall and Tweed Heads may be required occasionally
