Cranbrook School Foundation is seeking a highly organised and relationship-focused Advancement & Database Coordinator. ABOUT THE POSITION

Reporting to the Director of Advancement, the Advancement & Database Coordinator is responsible for the effective administration of the Advancement Office and the management of the School's Advancement CRM (ToucanTech). As the first point of contact for the Advancement Office, the role requires a professional and responsive approach to donors, alumni, parents, staff and the broader community.

You will play a pivotal role in ensuring the integrity of donor and constituent data, coordinating fundraising administration, supporting philanthropic campaigns, and delivering an exceptional experience for donors, alumni, parents and the wider Cranbrook community.

This role combines providing high-quality database management,



gift processing, financial administration, donor stewardship and operational support, ensuring the smooth delivery of fundraising activities and community engagement initiatives.

The successful candidate will work collaboratively across the School while maintaining the highest standards of professionalism, confidentiality and customer service. Attendance at School and Advancement events, including outside normal working hours, will be required from time to time.

KEY RESPONSIBILITIE

- Serve as the first point of contact for the Advancement Office, providing professional and responsive service to donors, alumni, parents, staff and the broader community.
- Manage and maintain the Advancement CRM (ToucanTech), ensuring the accuracy, integrity and security of constituent data to support fundraising and engagement activities.
- Administer the CRM database, including data imports, bulk updates, data cleansing, segmentation and ongoing quality assurance.
- Process and record gifts and donations accurately and promptly, ensuring compliance with organisational policies, accounting procedures and relevant legislation.
- Coordinate donor receipts, acknowledgements and thank-you communications to deliver an exceptional donor experience.
- Maintain accurate donor and constituent records, including updating returned mail, email and changed contact details.
- Support the planning and delivery of annual giving campaigns, appeals and fundraising initiatives through effective data management and gift processing.
- Coordinate banking, receipting, reconciliation and financial administration for the Advancement Office, including GST requirements.
- Assist with fundraising reporting through the preparation of data extracts, reports and mailing lists.
- Conduct prospect research to support donor cultivation and solicitation strategies.
- Build and maintain strong relationships with donors, Old Cranbrookians,



past parents, students, staff and the wider Cranbrook community.
- Contribute to process improvement and operational efficiencies within the Advancement Office.
- Maintain confidentiality and ensure appropriate management of donor, alumni and constituent information.

ABOUT YOU

You are a highly organised and detail-oriented professional with a passion for relationship management, data accuracy and supporting meaningful philanthropic outcomes. You thrive in a collaborative environment and understand the importance of delivering an exceptional experience to donors and community stakeholders.

You will bring:

- Experience in database administration, CRM management or fundraising systems.
- Strong administrative, organisational and time management skills.
- Excellent attention to detail and accuracy in managing complex information.
- Experience with data reporting, segmentation and database maintenance.
- Strong written and verbal communication skills.
- Sound financial administration skills, including processing and reconciliation.
- The ability to manage competing priorities and meet deadlines.
- A proactive, team-oriented and service-focused approach.
- The ability to maintain discretion and confidentiality when managing sensitive information.
- Experience within education, philanthropy, fundraising or the not-for-profit sector will be highly regarded.

WORKING WITH CHILDREN CHECK AND WORKING RIGHTS

The successful applicant for this position will be required to hold a current NSW Working with Children Check clearance. Applicants must be an Australian citizen or permanent resident or hold a visa with appropriate working rights.
