We’re looking for an enthusiastic, organised and compassionate Receptionist & Administration Coordinator to become the first point of contact for our families and support our growing team of mobile paediatric physiotherapists across Brisbane.
This is much more than a reception role. You’ll play an integral part in creating an exceptional experience for families, supporting our clinicians behind the scenes, and helping ensure every child receives the highest standard of care.

About the Role
This casual position offers flexibility while providing an exciting opportunity to support one of Brisbane’s growing paediatric physiotherapy providers.
Working alongside our clinical and leadership team, you’ll coordinate appointments, communicate with families, assist with administration and help keep our operations running smoothly.
Your role is essential in ensuring our clinicians can focus on what they do best—helping children move with confidence.
Your Responsibilities
As our Receptionist & Administration Coordinator, you will:
- Be the friendly first point of contact for families via phone, email and SMS.
- Manage clinician schedules, appointments and calendar coordination.
- Assist new families through the onboarding process.
- Respond to enquiries promptly, professionally and compassionately.
- Coordinate bookings for home visits, schools, kindergartens and community appointments.
- Prepare invoices,
process payments and assist with billing enquiries.
- Maintain accurate client records using our practice management software.
- Prepare clinical documents, reports and correspondence.
- Support clinicians with administrative tasks before and after appointments.
- Liaise with clients, healthcare professionals, schools and support coordinators where required.
- Monitor emails and ensure enquiries are actioned efficiently.
- Contribute ideas that improve systems, efficiency and the overall client experience.
- Help maintain the warm, professional and family-centred culture PHYSITEK is known for.

- An excellent communicator with strong written and verbal skills.
- Confident using computers and learning new software.

- A positive team player who enjoys supporting others.
Experience & Skills
- Previous experience in reception, administration or client services.
- Experience within healthcare, allied health or medical administration (highly regarded).
- Robust computer literacy,
including Microsoft Office and cloud-based systems.
- Experience with practice management software (or the ability to learn quickly).
- Excellent organisational and time management skills.
- High level of accuracy in data entry and documentation.
- Confidence communicating with a wide range of people.
- A current driver’s licence and reliable vehicle (preferred).
