Job Purpose:
The Investor Registry Associate plays a critical role in ensuring the accurate and timely maintenance of investor records across all investment vehicles managed by the firm. This position supports registry operations, investor onboarding, compliance with AML/CTF obligations, and liaison with custodians, registries, platforms, and internal teams. The role contributes to delivering a high-quality investor experience and maintaining robust operational processes in line with regulatory standards and business policies.
Key Accountabilities:
Registry & Investor Record Management
Maintain accurate investor register data across various fund structures (e.g. unit trusts, managed funds, private placements)
Process investor transactions including applications, redemptions, transfers, and distributions
Reconcile registry movements with fund administrator and trustee records
Investor Onboarding & AML/KYC
Support investor onboarding processes including collection and verification of identification and tax information
Ensure compliance with AML/CTF obligations and FATCA/CRS reporting requirements
Liaise with compliance officers and legal advisers on exceptions and enhanced due diligence
Distributions & Communications
Coordinate the timely processing and reporting of income distributions and statements to investors
Assist in the preparation and delivery of periodic investor communications (e.g. holding statements, tax summaries, annual reports)
Manage investor correspondence and respond to registry-related enquiries in a professional and timely manner
Stakeholder & Platform Coordination
Liaise with fund administrators, custodians, external registry providers, and financial platforms (e.g. Hub24, Netwealth, Praemium)
Support the Direct and Intermediated Distribution teams by maintaining investor data integrity and responding to reporting queries
Compliance & Operational Support
Ensure all registry-related activities are performed in accordance with internal controls and compliance obligations
Contribute to ongoing enhancements of investor registry systems and automation opportunities
Maintain investor-related documentation and support audit, tax, and regulatory reviews as needed
Qualifications & Experience:
2+ years’ experience in investor registry, fund administration, unit pricing, or related operational roles in financial services
Understanding of Australian fund structures, investor types, and distribution mechanisms
Familiarity with registry platforms is desirable
Working knowledge of AML/CTF, FATCA, and CRS regulatory requirements
Strong attention to detail and high data accuracy
Excellent organisational and time-management skills
Solid communication skills, both written and verbal
High level of integrity and professional ethics
Proficient in Microsoft Excel and registry systems
Tertiary qualified in finance or a finance-related discipline
