ABOUT THE ROLE
We are seeking a Project Facilities Coordinator who provides administration and operational support to the MSS AU team to ensure successful delivery of refurbishment and capital works.
As our Project Facilities Coordinator, you'll play a key role in administering client projects, work with Project Managers and Site Supervisors to co-ordinate schedules of works, assignments of subcontractor to budgeted works.
KEY RESPONSIBILITIES
- Coordinate project delivery from start to finish, including documentation, budgets, purchase orders, work orders, progress claims, invoicing, and project schedules.
- Build and maintain robust relationships with clients, project teams, and subcontractors, ensuring effective communication, regular progress updates, and excellent customer service.
- Monitor project progress, quality, budgets, contractual requirements,
and handover documentation to ensure projects are delivered on time and to standard.
- Prepare and manage quotations, contracts, tenders, reports, and other project documentation, while providing regular project reporting to internal stakeholders.
- Manage subcontractor onboarding and compliance, including prequalification, licence and insurance checks, and promote WHS compliance across all projects.
REQUIREMENTS
- Minimum of 2-3 years’ experience in a Project Admin/Project Coordination or similar related position.
- Experience with Pronto, Procore and Xero Software preferred but not essential
- Experience in the Construction or Facilities Management industry preferred
- Experience in management of contractors using Rapid Induction is highly advantageous
- Excellent organisational and time management skills, with the ability to manage multiple projects, priorities, and deadlines.
- High attention to detail and strong documentation, reporting, and administrative skills.
- Ability to engage with multiple stakeholders including customers, operations and finance personnel
- Able to work well in busy environment, managing competing priorities and tight deadlines
- Must have valid work rights in Australia, and the ability to obtain a police clearance.
