About the Role
We're looking for a friendly, organised, confident and proactive Administration & Scheduling Officer to become an integral part of our team. If you're passionate about delivering exceptional customer service, enjoy building strong client relationships, and have excellent organisational skills, we'd love to hear from you..
Your primary responsibility will be coordinating and scheduling certification audits across Australia and internationally. You'll also work closely with our Office Manager, providing assistance with a variety of administrative projects and day-to-day tasks that help keep the business running smoothly.
This role also provides backup support for our Accounts Receivable and Accounts Payable function.
Key Responsibilities
- Deliver outstanding customer service to clients via phone, email and text message.
- Build strong relationships with manufacturers, auditors and certification clients.
- Schedule and coordinate certification audits across Australia and internationally.
- Liaise with auditors, manufacturers and certification staff to coordinate audit dates and availability.
- Keep clients informed throughout the certification process, providing updates and responding to enquiries promptly.
- Manage audit calendars, travel bookings and auditor allocations.
- Prepare and issue audit notifications and supporting documentation.
- Monitor audit progress and proactively follow up outstanding actions.
- Maintain accurate client records and certification documentation.
- Prepare Change Requests for certification licences.
- Assist the Office Manager with ad hoc projects and general business administration.
- Provide backup support for Accounts Receivable and Accounts Payable when required.
- General administration duties to support the wider team.
About You
You're someone who enjoys talking to people and takes pride in providing excellent customer service. You understand that every phone call and email contributes to the client's experience, and you enjoy finding solutions and keeping people informed.
You will have:
- A minimum of 2 years' experience in an administration, customer service or scheduling role.
- Exceptional customer service and relationship-building skills.
- Confidence communicating professionally by phone, email and text.
- Excellent written and verbal communication skills.
- Strong organisational and time management abilities.
- High attention to detail.
- A proactive approach with the confidence to follow up clients and internal team members.
- Intermediate Microsoft Office skills (Word, Outlook and Excel).
- Experience with Accounts Receivable and/or Accounts Payable is highly regarded.
- Experience in certification, compliance, scheduling or quality systems is advantageous but not essential.
