Are you an experienced Executive Assistant, Board Coordinator or Company Secretariat professional who thrives in a fast-paced, highly professional environment?
We are partnering with a respected and well-established organisation to recruit a Corporate Secretariat Coordinator who will play an integral role in supporting the Legal, Risk & Compliance function. This is an outstanding opportunity for someone who enjoys working at executive level, has exceptional organisational skills, and takes pride in delivering work of the highest standard.
Working closely with the Chief Legal & Risk Officer, you will become a trusted member of a collaborative team, providing confidential support across Board and Committee administration, corporate governance and company secretarial functions.
The Opportunity
This is a diverse and rewarding role where no two days are the same. You will be responsible for coordinating Board and Committee meetings, maintaining corporate governance records, supporting statutory compliance requirements, and ensuring the smooth operation of the Legal, Risk & Compliance function.
Success in this role will require exceptional attention to detail, the ability to manage competing priorities, and the confidence to work with senior executives, Board members and a broad range of internal and external stakeholders.
Key Responsibilities
Coordinate all Board and Committee meeting logistics, including agendas, papers, minutes, action registers and Board portal administration.
Provide executive-level administrative support to the Board and the Legal, Risk & Compliance Team.
Maintain statutory registers, minute books and corporate governance records.
Assist with ASIC and ASX regulatory lodgements and annual company compliance requirements.
Coordinate the execution of legal and corporate documentation.
Prepare reports, Board resolutions, presentations, spreadsheets and governance documentation.
Support the ongoing maintenance of governance, risk and compliance policies and frameworks.
Manage calendars, meetings, travel, invoices and other executive administration.
Assist with Annual General Meeting preparation and other corporate events.
Respond to requests for governance-related information, including supporting internal and external audit processes.
Build strong working relationships across the business, acting as a key liaison between the Board, Executive Team, Legal, Risk & Compliance Team and external service providers.
Conduct research and assist with process improvements relating to corporate governance and compliance.
About You
You are an experienced senior administrator who is known for your professionalism, discretion and ability to remain calm under pressure. You enjoy working with senior stakeholders and understand the importance of confidentiality, accuracy and delivering work to exceptionally high standards.
You will ideally bring:
Previous experience supporting Boards,
Company Secretaries or senior executives.
Experience within legal, professional services, corporate or highly regulated environments.
Exposure to company secretarial or corporate governance functions will be highly regarded.
An interest in corporate governance, compliance and corporate legislation.
Outstanding organisational and time management skills.
Exceptional attention to detail and a commitment to accuracy.
Excellent written and verbal communication skills.
Strong relationship-building abilities and a proactive, solutions-focused mindset.
Advanced Microsoft Office skills, including Word, Excel, Outlook, PowerPoint and Teams.
Experience using Board management platforms such as Diligent, Atticus or similar will be advantageous.
