For 50 years, Lifeline Darling Downs & South West Queensland Ltd (LDDSWQL) has been a trusted not-for-profit, dedicated to engaging and empowering individuals to build resilient communities. Our services include crisis counselling, community recovery, and a wide range of support programs across the Darling Downs and South West Queensland.
Our Programs and Community team are dedicated to improving support available in the Darling Downs and South West Queensland region through quality programs and services. Working from our Neil Street office, we have an exciting opportunity for a part time Administration Officer to join our team and help make a difference. As the welcoming face of our organisation, you will be one of the first people our clients and visitors meet when they arrive, helping create a warm, safe and supportive workplace from the moment they arrive.
About your new role
Your days will be varied as you respond to enquiries via phone and in person from community members and partners. There are two main distinctions to the work you will perform in this position…
General Administrative Duties
Welcome and assist clients, visitors, volunteers and stakeholders, providing a professional and supportive first point of contact.
Facilitate reception and administration duties such as managing phone calls, process and distribute Referrals and monitor the Lifeline mailbox.
Process referrals to other services or organisations as required.
Provide administrative and operational support to ensure the smooth, efficient and professional operation of the Neil Street Head Office.
Maintain office supplies and coordinate ordering of stationery, kitchen and office consumables.
Coordinate all aspects of staff training,
including booking sessions, organising internal training, and arranging catering.
Provide administrative support to the Programs and Community team as required, including assistance with scheduling appointments and coordinating room and vehicle bookings.
Prepare agendas, attend team meetings, take minutes, and follow up on action items, as required.
Provide support to the Emergency Relief program supports including distributing food parcels and coordinating bulk food supply orders.
Program Administration Support (Training provided)
Maintain accurate data entry and database management.
Record statistics and program data in an efficient and effective way according to Program Requirements and Counting Rules.
Prepare reports for Strategic Lead – Programs & Community (SLPC) and Manager, Programs & Community (MPC), including, but not limited to:
Program hours.
File Audit Outcomes.
Review files and ensure compliance with required standards.
About You
We’re looking for someone with strong administrative and customer service skills who is friendly, organised and enjoys helping others. You’ll bring a positive, can-do attitude, a willingness to learn, and a genuine passion for supporting people. You will bring:
Strong technology skills in Microsoft Office and experience using a CRM (Preferred)
Excellent attention to detail and data entry skills
Strong organisational skills to ensure you can keep your work moving within a busy reception role
Effective communication skills, both written and verbal, with strong interpersonal, negotiation, and conflict resolution abilities.
Demonstrated ability to work collaboratively in a multi-disciplinary team environment.
Please note: The successful candidate will need to complete a National Police Check and Working With Children Check prior to commencement.
