Executive Assistant/Senior Executive Assistant
The AER is seeking to fill an APS6 Executive Assistant role and establish an APS5 merit pool for future vacancies.
An Executive Assistant at the AER provides executive support to two AER leaders (either Board members and/or senior executives), in addition to administrative and secretariat support to AER committees, branches and projects. Executive Assistants report to the AER leaders they support.

An Executive Assistant at the AER provides executive support to two AER leaders (either Board members and/or senior executives), in addition to administrative and secretariat support to AER committees, branches and projects. Executive Assistants report to the AER leaders they support.
The key duties of the position include:
- Provide high level executive support to senior executives and Board members, including inbox management and diary management, with discretion, attention to detail and robust communication skills.
- Demonstrate strong communications skills and maintain productive relationships with staff across the AER and with stakeholders to support effective workflows and ways of working.
- Proactively assess and prioritise a high volume of incoming papers, emails and telephone enquiries and take appropriate follow up action.
- Provide secretariat support for meetings, including preparing agendas and minutes, liaising with staff across the business to collate papers, managing invitations and RSVP’s, arranging meeting rooms, video conference bookings and catering.
- Provide supervision and line management to an APS4 Administrative Assistant.
- Use AER business systems to maintain accurate record keeping and robust review and clearance processes.
- Ensure straightforward financial processes, such as credit card reconciliation and invoices being paid, are undertaken on the behalf of senior executives, Board Members’ and/or work area’s behalf.
- Assist in managing documents across the AER including proof reading, editing, drafting and collating.
- Ensure travel is booked, managed and acquitted.
- Use their judgement to accurately interpret circumstances, policies and guidance etc, and facilitate the best course of action.
- Provide general administrative support to teams and projects.
Eligibility
- Australian Citizenship – our successful candidate must be an Australian Citizen
- Security clearance – our successful candidate is required to hold, or have the ability to obtain and maintain a security clearance at the required level
