About the Role:

Join our motivated and dynamic Finance team at St John NSW to support our financial operations. As an Accounts Payable Officer, you will take full ownership of the accounts payable function — ensuring the accurate and timely processing of supplier invoices, expense reimbursements, credit card transactions, capital expense management and reconciliations. You will also play a key role in maintaining strong internal controls, accurate financial records, and ongoing compliance with organisational policies.

Key responsibilities:

- Take full ownership of the end-to-end accounts payable function, ensuring high volume, accurately coded processing of invoices into the ERP system.
- Timely processing of supplier invoices, correctly matching them with Purchase Orders, warehouse Goods Received Notes and supplier delivery dockets.
- Ensure all supplier invoices,



expense claims and credit card transactions are posted prior to month-end cut off.
- Verify proper approval, supporting documentation and accurate coding of expenses in the ERP system in accordance with internal policies and financial delegations.
- Arrange scheduled weekly payment runs and ad-hoc payments as requested by stakeholders.
- Conduct monthly reconciliation of creditor statements, including following up outstanding items, obtaining missing invoices and processing credit notes where required.
- Reconcile the petty cash account, AP ageing account and Goods Received account.
- Compile month-end expense accruals and process journal entries in consultation with the Finance Manager.
- Liaise with suppliers and internal stakeholders to resolve accounts payable queries.
- Manage the CAPEX (Capital Expense) workflow for the Fixed Assets Register in accordance with CAPEX policy.
- Fulfil other reasonable ad hoc finance duties as directed by the Finance Manager or other stakeholders.

Our Ideal Candidate will have:

- Minimum 2-3 years Accounts Payable experience, ideally in a fast-paced, high-volume environment.
- A proven track record of owning and managing accounts payable responsibilities independently while meeting competing deadlines.
- Demonstrated experience with an ERP or finance system (SAP experience highly regarded).




- Intermediate Excel skills (VLOOKUP, pivot tables) and sound knowledge of MS Office.
- Experience matching supplier invoices with purchase orders and goods received documents.
- A high level of accuracy and attention to detail, with strong reconciliation and problem-solving skills.
- Sound understanding of accounting principles, coding and cost centre allocation, applied practically in the workplace.
- An adept team player with excellent interpersonal skills, capable of engaging with diverse corporate and individual stakeholders.
- Relevant tertiary qualifications (completed or in progress) would be highly regarded.
- Thrives in both commercial and profit-for-purpose cultural environments.
