Founded by Dr Paul Lam, a Sydney-based family physician, our mission is to empower people to improve health and wellness through tai chi. Dr Lam learned tai chi to manage his arthritis and developed Tai Chi for Health programs, now globally recognised and endorsed by health authorities. Tai Chi Productions creates accessible Tai Chi materials, and the Tai Chi for Health Institute ensures quality training and supports instructors. Our work impacts over 10 million people worldwide. Both organisations collaborate efficiently while maintaining independence. KEY RESPONSIBILITIES
Workshop coordination
- Coordinate training workshops end-to-end, in person and online
- Arrange venues, catering, equipment and materials
- Manage participant registrations, confirmations and enquiries
- Liaise with presenters and instructors on scheduling and requirements
- Prepare and issue workshop materials and certificates
- Maintain workshop records and the forward calendar
- Support instructor certification administration for the Institute
Supplier and vendor liaison
- Act as first point of contact for suppliers, printers, and vendors
- Obtain quotes, place orders and follow up delivery
- Check invoices against orders and resolve discrepancies
- Maintain supplier records and account details
- Monitor stock levels, reconcile stock on hand,
and reorder as required
Administration
- Manage the workshops and general enquiries inboxes
- Maintain the calendar of recurring obligations — insurance, registrations, subscriptions and renewals
- Maintain records and filing systems
- Process and dispatch product orders as required, including cover during team absences
- Document procedures as they are established
SELECTION CRITERIA
- Demonstrated experience coordinating events, courses or projects with multiple moving parts and firm dates
- Solid written and verbal communication, with confidence dealing directly with suppliers, presenters and participants
- Sound computer skills, and confidence learning new systems
- Accuracy in record-keeping and financial administration
- Ability to work independently with general direction
- Ability to prioritise across competing demands
- Event, workshop or conference coordination experience
- Familiarity with Xero or similar accounting software
- Experience in a small organisation where roles are broad
- Interest in health, wellbeing or community education
