The Coordinator provides high-quality administrative and operational support across the Chamberlain Brown group.

The role is responsible for the smooth coordination of day to day office administration, front of house services, internal processes and recurring business support activities. The position also works closely with the Operations Managers to support human resources, finance administration, compliance, business systems, technology, marketing and broader operational projects.

The successful person will be highly organised, proactive and dependable, with the ability to manage recurring responsibilities, respond to changing priorities and ensure tasks are completed accurately and on time.

The role is intended to free the Operations Manager and senior team from routine administrative tasks while maintaining a professional, organised and well supported working environment.

About the Role

What You'll Be Doing

Your responsibilities will include:

- Coordinating the day to day administration of our Newcastle and Maitland offices

- Providing a skilled first point of contact for clients, referral partners and visitors

- Managing incoming calls, shared inboxes and general enquiries

- Preparing meeting rooms and coordinating office facilities

- Maintaining the presentation, cleanliness and organisation of both office environments

- Assisting with accounts payable, accounts receivable and finance administration

- Supporting recruitment, onboarding and employee administration

- Maintaining compliance registers and assisting with client identity verification processes

- Updating CRM systems and ensuring business records remain accurate

- Assisting with the development and implementation of business systems and processes





- Supporting marketing and social media administration

- Coordinating business projects and following up outstanding actions

- Providing administrative support to the Directors and Operations Managers as required

About You

We're looking for someone who is naturally organised, enjoys taking ownership and genuinely loves helping a team operate efficiently.

Ideally you'll have:

- Previous experience in administration, office coordination or business support

- Excellent organisational and time management skills

- Outstanding written and verbal communication

- Strong attention to detail

- The ability to manage multiple priorities simultaneously

- Confidence using Microsoft 365 and HubSpot CRM systems

- Experience using Xero or similar accounting software

- A proactive mindset and willingness to solve problems

- High levels of professionalism, confidentiality and integrity

- The confidence to work independently while knowing when to elevate matters

Experience within property, finance, professional services or another regulated industry would be highly regarded, however it isn't essential.
